Job Description:
The Human Resources Coordinator (HR Coordinator) is responsible for coordinating, monitoring, and supporting the onboarding of new employees, handling the daily administrative duties for the Human Resources Department, and providing direct clerical support for all department staff (HR Manager and Generalist(s)) in areas of record maintenance, compliance, meeting preparation, and special projects. Onboarding, documents management, and HR process management are key functions of the HR Coordinator.
Job Functions And Responsibilities
- Agrees to work as reasonably scheduled by Company
- Manages the Human Resources email account and calendar
- Documents management: employee and department file creation, audits and maintenance – both digital and paper files; expired document tracking and updates; tickler file management; creates and maintains general files, medical files, Form I-9 files; manages archival of expiring documents and termed files; organizes and maintains HR shared drive
- Maintains and updates HRIS database and other record-keeping systems as requested
- Collaborates with the HR Manager and HR Generalist(s) to ensure that all required licensing, immunizations, and other HR records are up to date for current employees
- Prepares, assigns, and monitors the completion of background checks, drug screens, new hire documentation, and immunization reports for all new hires
- Maintains contact with new hires to ensure that onboarding items are completed, that new employees start on time, and that new employees are engaged throughout the onboarding process
- Maintains copies of current state licenses for all clinical employees during onboarding and on an ongoing basis
- Assists with functions related to orientation, credentialing/licensing, terminations, drug screens, COVID-19 testing, background reports, and more
- Process management: independently take a process, break it down, create a timeline with self-imposed deadlines to on-time completion; provide relevant and timely updates within the HR department
- Tracks employee birthdays and anniversaries; coordinates recognition per company policies, including monthly office birthday celebration (cake and cards)
- Responds to clinical employees’ script pad requests; maintains script pad inventory
- Performs OIG/exclusion checks on clinical staff
- Provides back-up for the Executive Assistant (to the C-Suite) as needed for general office support and special projects
- Collects, gathers, and reports on key onboarding, recruiting, and other HR-related metrics as needed
- Partners with the Executive Assistant to plan and prepare for corporate events
- Collaborates with the entire HR team on special projects
- Provides assistance to the recruitment team when support is needed
- Gains a working understanding of licensing requirements for the states in which Guide Star offers services
- Makes recommendations to improve the onboarding process for all involved
- Performs other duties as required
- Services provided by the HR Coordinator shall be performed at the Company’s corporate office
- Motion Requirements:
Must be able to remain in a stationary position 90% of the time; occasional movement within the office; consistently operate a computer and office equipment; occasional stairs; occasional repositioning of self to reach items; occasional lifting up to 20 lbs - Vision, Speech and Hearing Requirements:
Frequent communication with clinicians, vendors, and co-workers; ability to exchange accurate information; perceive information on monitors; normal noise levels; communication in person, by phone or video - Work Environment:
Temperature-controlled, open concept workspace; typically quiet to moderate noise; routine movement of employees through the area - Mental Demands:
Ability to understand direction and adhere to procedures for clinical processes; effective communication; adaptability under stress; ability to manage quickly changing priorities
- Bachelor’s degree in human resources or related field (preferred)
- 2 years’ experience in Human Resources or office environment (preferred)
