We are currently seeking a dependable, detail-oriented Office Operations Manager to support our accounting, administrative, and client service teams.
This position is a vital, multi-faceted role that ensures smooth day-to-day office operations and helps support the high level of service our clients expect. You will be a key point of contact for both clients and staff, contributing to a professional and welcoming office environment.
Key Responsibilities:Office & Administrative Support
- Monitor internal processes to ensure compliance with firm policies and regulations.
- Contribute to firm-wide technology upgrades and IT systems, ensuring seamless operation and tech support.
- Maintain physical and digital filing systems.
- Prepare and format client-facing documents and reports.
- Schedule meetings and maintain calendars for accountants and partners.
- Order office supplies and manage vendor relationships.
- Coordinate mail, deliveries, and couriers.
- Answer phones, greet clients, and manage front-desk inquiries.
- Drive client onboarding improvements and enhance communication protocols.
- Coordinate tax season communications and deadlines.
- Manage client tax document collection and organization.
- Oversee client portals and provide basic tech support.
- Assist with recruiting, staff onboarding, and internal training.
- Ensure compliance with data security and internal firm policies.
- Support a professional, organized, and efficient office environment.
- Prior experience in a CPA firm
, tax office, or similar professional setting preferred. - Experience with accounting or tax software is a plus.
- Excellent organizational and communication skills.
- Professional demeanor and ability to handle confidential information.
