The primary purpose of the Staffing Scheduler position is responsible for ensuring appropriate staffing for our facility while maintaining the staffing regulations.
Responsibilities- Develop and maintain staff schedules for all departments, including nursing, clinical, and support staff, while ensuring proper coverage at all times.
- Coordinate with department managers to understand their staffing needs and preferences.
- Respond efficiently to last‑minute staffing changes, such as sick calls or emergencies, by finding suitable replacements.
- Ensure that the facility meets the required staffing ratios mandated by local, state, and federal regulations.
- Liaise with the Director of Nursing and other department heads to keep them informed of staffing schedules and changes.
- Facilitate communication between employees and management regarding scheduling issues or concerns.
- Collaborate with HR to ensure that all staffing‑related documentation, such as timecards and attendance records, are accurate and up‑to‑date.
- Stay up‑to‑date with local, state, and federal regulations related to staffing and scheduling in a Skilled Nursing Facility setting.
- Ensure compliance with labor laws, union contracts (if applicable), and company policies related to scheduling and staffing.
- Monitor employee attendance and punctuality, addressing any recurring issues promptly.
- Generate reports on staff attendance, overtime, and other related metrics as required.
- Assist in identifying opportunities for process improvement to optimize scheduling efficiency.
- Utilize scheduling software and other tools to create and maintain accurate schedules.
- Train and support staff in using the scheduling software effectively.
- High school diploma or equivalent is required.
- Previous experience in scheduling, preferably in a healthcare or skilled nursing facility setting, is preferred but not mandatory.
- Excellent organizational and time‑management skills to handle multiple tasks and deadlines effectively.
- Strong written and verbal communication skills to interact with employees and management professionally and empathetically.
- Meticulous attention to detail to ensure accurate and error‑free scheduling.
- Ability to respond proactively and resourcefully to staffing challenges and unexpected changes.
- Willingness to adapt to changing priorities and requirements of the facility.
- Familiarity with scheduling software and other tools commonly used in workforce management.
