The Immigrant Services Coordinator / Outreach Specialist supports the Director of Immigrant Services in coordinating department operations and cross-program activities for the Immigrant Family Resource Program (IFRP), Illinois Welcoming Center (IWC), and New Americans Initiative (NAI). The position takes the lead in vetting, planning, scheduling, and documenting outreach opportunities; coordinates staff participation and materials; supports community partnerships, communications, reporting, and onboarding;
and provides direct client-service coverage when needed.
Job Summary
The Immigrant Services Coordinator / Outreach Specialist supports the Director of Immigrant Services in coordinating department operations and cross-program activities for the Immigrant Family Resource Program (IFRP), Illinois Welcoming Center (IWC), and New Americans Initiative (NAI). The position takes the lead in vetting, planning, scheduling, and documenting outreach opportunities; coordinates staff participation and materials; supports community partnerships, communications, reporting, and onboarding;
and provides direct client-service coverage when needed.
IFRP: Support outreach, education, and access to public benefits for eligible immigrant and refugee families with limited English proficiency. As needed, assist with applications, interpretation, referrals, follow-up, and informational presentations in accordance with program standards.
IWC: Support culturally and linguistically responsive information and referral, service coordination, and holistic case-management activities. Assist staff with outreach, workshops, documentation, referrals, and direct client services when coverage or additional support is needed.
NAI: Coordinate program logistics with the Director and instructor, including class promotion, student inquiries and registration, schedules, and other required records, and support for curriculum and program-deliverable tracking.
Essential Job Functions Outreach and Community Partnerships- Serve as the primary point of coordination for department outreach requests and opportunities.
- Vet proposed events and speaking engagements for alignment with program goals, target populations, geographic priorities, staff capacity, anticipated impact, and available resources; present recommendations to the Director for approval when needed.
- Maintain a centralized outreach calendar and coordinate staffing, registration, materials, transportation, setup, and follow-up for approved activities.
- Develop and maintain relationships with public agencies, nonprofit organizations, schools, service providers, media outlets, and immigrant and refugee communities across the department’s service area.
- Attend selected community events and meetings to promote services, strengthen partnerships, identify resources, and expand the department’s reach.
- Ensure outreach and site-visit activities are documented accurately and submitted on time for program reporting and deliverable tracking.
- Maintain regular communication with the Director and program staff regarding outreach, operational needs, emerging issues, service trends, and progress toward program goals.
- Assist the Director with annual and ongoing program planning, implementation, monitoring, and adjustment of goals, workflows, and activities in accordance with contracts, program plans, standards, and available budgets.
- Coordinate cross-program projects, meetings, schedules, and follow-up tasks as assigned by the Director.
