Job Title:Payroll Specialist

The Payroll Specialist is responsible for end-to-end payroll processing, maintaining payroll and benefits records, and ensuring compliance with all applicable federal, state, and local employment and tax regulations. This role requires a high level of accuracy, discretion, and the ability to work effectively across departments while supporting payroll, benefits, and related reporting activities.
Essential FunctionsThis position has a base schedule of Monday through Friday, 8:00 a.m. to 5:00 p.m. The schedule may be adjusted based on business needs.
Payroll Operations & Compliance- Execute accurate end-to-end bi-weekly payroll processing, including regular wages, overtime, PTO, special earnings, and off-cycle payrolls as needed.
- Administer time and attendance processes, including timecard review, approvals, and issue resolution.
- Maintain employee payroll data, including pay rates, job changes, deductions, and tax with holdings within the payroll system.
- Perform pre- and post-payroll audits, reconcile payroll registers, and investigate and resolve discrepancies.
- Administer involuntary deductions such as garnishments, levies, and child support orders, ensuring timely and accurate remittance.
- Maintain payroll tax records and support quarterly and annual payroll tax filings.
- Support internal and external audits, including Workers’ Compensation audits, EEO-1 reporting, and other payroll-related compliance requirements.
- Reconcile payroll-related general ledger accounts and support month-end close activities.
- Maintain payroll deductions related to employee benefits, including retirement plans, insurance plans, and flexible benefit programs.
- Administer retirement plan contributions, including bi-weekly remittances and Safe Harbor calculations.
- Compile and prepare payroll data for retirement plan census reporting, insurance renewals, and benefits-related reporting.
- Serve as Benefits Administrator and coordinate payroll-related benefit payments.
- Maintain accurate, confidential payroll and benefits records in accordance with company policy and record retention requirements.
- Verify employment and payroll information for internal and external requests as appropriate.
Education and Experience
- Degree in Accounting, Finance, or a related field preferred, or 5 years related experience.
- Previous experience in a payroll department required.
- Hands‑on experience with Paycor payroll software strongly preferred.
- Working knowledge of payroll laws, tax regulations, and benefits administration.
- Strong attention to detail and accuracy.
- Excellent organizational and time‑management skills.
- Proficient in payroll systems, reporting tools, and Microsoft Office.
- Strong math, communication, and problem‑solving skills.
- Ability to handle confidential information with discretion.
- Team‑oriented with the ability to work independently.
- Office‑based position with prolonged periods of sitting and computer use.
- Occasional lifting of files or office materials.
