Job DescriptionGermanna Community College is a public, open‑access institution of higher education in the Virginia Community College System. The College serves as a regional leader and partner where quality learning experiences enable students to participate effectively in the social, economic, political, intellectual, and cultural life of their communities. The Graduation Audit Specialist works within the Office of Enrollment Services at the Daniel Technology Center in Culpeper, VA.
This role involves preparing student records for program completion, assisting the front office with related inquiries, and helping plan and execute commencement ceremonies. The specialist will work closely with the Assistant Registrar and serve as a front‑line representative in Admissions and Records (A & R), guiding students as they approach the completion of their academic programs. This position requires high‑quality service delivery, ensuring a seamless transition for students through the conferral process, from being candidates to becoming graduates.
- Conduct degree audits and evaluate student records to identify graduation deficiencies.
- Process graduation applications and manage the student graduation list for each conferral period.
- Assist front‑office staff with related inquiries and provide timely communication to students, advisors, and campus stakeholders.
- Serve as the primary contact for graduating students, offering consistent, caring support throughout the graduation process.
- Perform additional duties as assigned, including assistance during emergency declarations by the Governor.
- Minimum of 2–3 years of professional experience in higher education enrollment services, registration, or student affairs.
- Experience with database management, data entry, records maintenance, and generating accurate reports from administrative databases.
- Minimum of 2 years of extensive customer service experience in high‑volume, time‑sensitive environments.
- Strong knowledge of institutional policies and academic regulations; ability to interpret and apply degree requirements and transfer credit processing.
- Utmost respect for confidentiality and compliance with FERPA regulations.
- Proficiency in interpreting complex academic transcripts and executing accurate transfer credit processing within a Student Information System (SIS).
- Experience proofreading and preparing commencement materials with high typographical accuracy.
- Bilingual (Spanish) experience preferred.
- Proficiency with Student Information System (SIS), Navigate, Clearinghouse, and Parchment systems preferred.
- Knowledge of curriculum and institutional policies related to degree audit and institutional procedures.
