About the RoleWe are seeking a highly organized and proactive Executive Assistant III to provide dedicated, seamless support to C-level executives for our direct client, based in Culver City, CA. In this high-impact role, you will act as a strategic partner to leadership, managing complex workflows in a fast-paced, ambiguous environment. The ideal candidate possesses a "bias for action," demonstrates high judgment, and thrives on solving problems before they arise.
Key Responsibilities- Complex Calendar Management:
Proactively manage and optimize C-level executive calendars, balancing deep dive focus time with critical internal and external meetings across global time zones. - Strategic Travel Coordination:
Arrange detailed domestic and international travel itineraries, including visas, accommodations, and logistics, ensuring executive efficiency. - Expense & Finance Management:
Accurately track, coordinate, and submit expense reports, ensuring compliance with financial policies. - Event & Team Management:
Organize and execute team activities, including all-hands meetings, off-sites, and morale events. - Confidentiality & Discretion:
Handle highly sensitive information regarding personnel, finance, and strategy with absolute integrity and professionalism. - Operational Efficiency:
Track key deliverables, follow up on action items, and identify process improvements to build capacity for the leadership team.
- 5 years of Executive Assistant experience supporting senior leadership (Director level or above).
- Demonstrated experience managing complex C-level calendars in a corporate environment.
- High proficiency with Microsoft Office (Outlook, Excel, PowerPoint, Word).
- High school diploma or equivalent.
- Experience working in a fast-paced, high-tech, or agency environment.
- Experience planning large-scale off-sites or team events.
- Ability to work successfully in a matrixed organization with a global team.
