The part-time database administrator/assistant will be primarily responsible for the day-to-day management and maintenance of an organization’s donor database. This role is crucial for ensuring data accuracy, which directly supports fundraising, communication, and reporting efforts. They work closely with development, finance, and other teams to ensure that all data is current, correct, and accessible. This position reports to Development Manager and CDO.
EssentialDuties And Responsibilities Data Entry and Management
- Process and enter donations, donor information, and other constituent data into the database promptly and accurately. Update and maintain existing records to ensure contact and biographical information is current.
- Process financial gifts, including checks, online payments, pledges, and stock gifts. Responsible for generating and sending timely acknowledgment letters and receipts to donors.
- Process foundation grants and work with Consulting Director of Foundations and Grants in sending acknowledgment letters as well as grant agreements.
- Process In-Kind gifts and send timely acknowledgment letters.
- Generate reports and queries to support fundraising campaigns, track progress toward goals, and analyze donor engagement.
- Generate monthly reports of donations and grants.
- Create mailing lists for appeals and analyze data for key metrics like donor retention.
- Support event management efforts by running donor platform reports related to event registrations, sponsor ships, and contributions, ensuring accurate tracking and up-to-date information for planning and follow-up.
- Support event management by building, maintaining, and updating the donor platform’s forward-facing website pages for event registration and sponsor ships, ensuring accuracy, functionality, and a seamless donor/user experience.
- Perform routine data cleanup tasks like de-duplication (removing duplicate records) and address updates to maintain the database’s overall health and integrity.
- Work with other departments, such as finance and communications, to reconcile donation records, provide data for mailings, and assist with special projects and events. Attend and participate in skills development in donor management systems.
- Comply with ECF’s Injury and Illness Prevention Program. Ensure safe use and operation of tools and/or equipment.
- Comply with ECF policies and procedures, including mandated reporting requirements.
- Regular and reliable attendance.
- Perform other duties as assigned.
Education
- Bachelor’s degree in computer science, Information Technology or equivalent experience.
Experience
- Previous experience in database administration, data management or related IT role.
Technical Skills
- Familiarity with Donor database programs (Donor Perfect, Raiser’s Edge).
- Knowledge of database security, backup and recovery procedures.
- Experience with data entry and data integrity best practices.

- Ability to work independently and manage time effectively.
- Driving is an essential function of this position. Proof of valid California driver’s license, reliable transportation, evidence of state‑mandated car insurance, and insurable driving record are required. While driving for work, should a need arise, the employee’s insurance is deemed primary and ECF’s coverage is secondary.
