Accounts Payable Administrator

FSLA STATUS:

Mayoral Appointment/Executive Staff. Appointment runs concurrently with Mayor.

• Pay all Town invoices according to department assigned accounts, verifying appropriateness of said accounts.
• Verify invoices are approved by departments heads and the Mayor, and check for accuracy of charges.
• Manage all Town purchase orders.
• Responsible for vendor set up, maintenance, and issuing annual 1099’s.
• Maintain records of payments and purchase orders for all departments.
• Manage all of the Town’s electric and gas bills for Rhode Island Energy.
• Upload, verify, and approve banking “Positive Pay” transactions for fraud prevention.
• Respond to inquiries and provide historical accounts payable information.
• Manage special projects as assigned (ex: track union employee clothing stipend).
• Assist with Worker’s Compensation audit regarding Independent Contractors as well as the annual financial audit.
• Any and all related tasks assigned by the Finance Director/Deputy Finance Director.

• Knowledge of computer programs including, but not limited to, word processing, excel spreadsheets, and data entry systems for financial reporting.
• Ability to establish and maintain effective working relationships with vendors and municipal departments.
• Ability to organize, multi-task, and plan work to meet deadlines.
