Position Information

The purpose of this classification is to perform specialized administrative work and to coordinate daily activities of an assigned department/division.

Essential Functions
  • Process a variety of documentation associated with department/division operations, within designated time frames and per established procedures.
  • Perform reception functions; answer telephone calls and greet visitors; ascertain nature of business, direct callers/visitors to appropriate personnel, record and relay messages; retrieve messages from voicemail or answering machine; initiate and return calls as necessary; relay calls/messages via base radio.
  • Perform customer service functions; provide information/assistance regarding department/division services, activities, locations, procedures, documentation, fees, or other issues; distribute forms/documentation as requested; respond to routine questions or complaints; research problems/complaints and initiate problem resolution.
  • Receive moneys in payment of various taxes, penalties, fees, or services; record transactions and issue receipts; post payments into computer; count and maintain cash drawer; balance revenues and forward revenues as appropriate.
  • Coordinate calendar activities for the department; schedule appointments, meetings, inspections, hearings, or other activities; update calendar regularly and notify parties involved of changes.
  • Write work orders to report problems or request repair/service; discuss problems/complaints with requesting party; forward work orders to appropriate service personnel; monitor status of open work orders; maintain files of closed work orders.
  • Operate fax machine to send/receive documentation; transmit faxes on behalf of department/division staff; distribute/deliver incoming faxes to appropriate personnel; replenish paper supply in fax machine as needed.
  • Type/send e‑mail messages; screen incoming e‑mail messages.
  • Process incoming/outgoing mail; sort, organize, open, and/or distribute incoming mail; sign for incoming mail/packages and deliver to appropriate personnel; process outgoing mail through postage machine; process bulk mailing projects.
  • Copy and distribute forms, reports, correspondence, and other documentation.
  • Maintain file system of various files/records for the department/division; prepare and set up files; sort/organize documents to be filed; file documents in designated order; retrieve/replace files; shred/destroy confidential or obsolete documents.
  • Monitor inventory of department supplies and forms; ensure availability of adequate materials to conduct work activities; initiate requests/orders for new or replacement supplies.
  • Conduct research of department files, court/legal records, database records, hardcopy materials, Internet sites, or other sources as needed.
  • Type, prepare, or complete various forms, reports, correspondence, lists, charts, receipts, refund requests, title applications, property record cards, work orders, complaint forms, stop work orders, warning notices, elector lists, or other documents.
  • Receive various forms, reports, correspondence, logs, lists, payments, tax bills/statements, tag/title documents, tag renewal notices, emission inspection forms, affidavits, building permits, license applications, inspection forms, voter registration applications, absentee ballots, rabies records, complaint forms, background history reports, incident reports, legal documents, surveys, plats, maps, street indexes, valuation guides, catalogs, laws, regulations, ordinances, policies, procedures, manuals, directories, reference materials, or other documentation;

    review, complete, process, forward or retain as appropriate.
  • Operate a computer to enter, retrieve, review or modify data; perform data entry functions by keying data into computer; verify accuracy of entered data and make corrections; utilize word processing, spreadsheet, database, case management, calendar, Internet, e‑mail, or other programs.
