Project Coordinator

EXOVATIONS® is growing again and is now hiring for a Project Coordinator in Cumming, Georgia. This role supports the Project Management team in administering project plans, permits, schedules, and documentation to ensure on‑time and budget‑constrained project delivery.

Position Scope

Assist the Project Management team in all administration functions and processes to schedule, deliver and complete a project in a timely fashion as determined by the project schedule, facilitating the development of project plans and permits and managing them from inception to completion.

Key Results
  • Successfully coordinate project tasks and resources with the goal of completing projects on time and within budget.
  • Streamline project handling administrative tasks, increasing team and individual efficiencies.
  • Ensure project documentation is completed and maintained appropriately for each project with 100% accuracy.
Essential Duties
  • Schedule customer pre‑walks appointments via phone, text, or email.
  • Maintain all Project Schedule Intake using Microsoft Dynamics 365–Field Service software.
  • Maintain compliance with regulations.
  • Process all outgoing Labor POs and material take‑offs.
  • Order job materials and schedule deliveries accordingly.
  • Monitor profit margins for projects.
  • Process and maintain Trade‑Partner incoming Labor POs (weekly draw/invoices) and follow up with Trade Partners on action items.
  • Distribute and track project‑related technical materials in conjunction with the project manager.
  • Create job closeout documentation.
  • Document and follow up on important actions and decisions from meetings.
  • Ensure all documents and supporting files are saved in the correct location and format.
  • Obtain required municipal permits, collect and organize necessary documentation, and maintain the project schedule.
  • Update monthly lumber pricing in the system.
  • Register material warranties.
  • Back‑up other Project Coordinators as needed.
  • Perform other duties as assigned by Finance Director.
Prerequisite Education, Knowledge, Skills, and Competencies
  • High school diploma or equivalent; additional education in position‑related courses preferred.
  • One to three years of related experience.
  • Basic knowledge of residential construction with a home‑building or remodeling company.
  • Motivated and goal‑oriented drive to exceed personal and company expectations.
  • Solid organizational skills, including multi‑tasking and time‑management skills, and strong problem‑solving skills.
  • Proficient with Microsoft Office 365.
  • Experience with Microsoft Dynamics 365 or NAV.
  • Good judgment with the ability to make timely and sound decisions.

Physical and Mental Requirements
  • Standing and sitting for extended periods of time.

Benefits & Compensation

The pay range for this role is: 24 - 24 USD per hour (Cumming, GA).
