Role Summary

The Legal Administrative Assistant provides essential administrative and operational support to ensure smooth case setup, accurate documentation, and efficient workflow management within the firm. This role focuses on executing structured processes, maintaining data accuracy, and supporting internal teams after a client has engaged the firm.

Responsibilities
  • Create, update, and maintain client records in the Case Management System
  • Open new client matters and ensure all required documentation is complete and accurate
  • Manage document organization, naming conventions, and file integrity
  • Assist with drafting and formatting standard documents and templates
  • Execute established workflows and standard operating procedures
  • Monitor task queues and ensure timely completion of assigned administrative steps
  • Route cases and tasks to appropriate team members
  • Ensure all required steps are completed for proper case progression
  • Handle basic client communications (status updates, document requests, scheduling)
  • Route client inquiries to the appropriate team members when needed
  • Maintain a professional and responsive client experience
Required Qualifications
  • High school diploma or equivalent
  • Minimum 1–2 years of administrative, clerical, or office support experience
  • Strong attention to detail and organizational skills
  • Ability to follow structured processes and procedures
  • Proficiency with computers and data entry systems
  • Strong written and verbal communication skills
  • Experience in a law firm or professional services environment highly preferred
