Records Management Specialist
The Records Management Specialist is responsible for supporting the intake, organization, digitization, review, storage, and destruction of physical records within a centralized document processing facility. This individual will coordinate the movement of file boxes throughout the warehouse, ensure accurate categorization of records based on retention requirements, support document scanning and digitization efforts, maintain inventory and storage locations, and assist with final destruction processes.
The role requires strong organizational skills, attention to detail, and the ability to follow established records management procedures while working in a fast-paced operational environment. The Specialist will collaborate with internal departments to facilitate file reviews, maintain accurate tracking of physical and digital records, and ensure compliance with document retention and destruction policies.
Responsibilities include:
- Receive, organize, and process physical records and file boxes through established intake, review, scanning, storage, and destruction workflows.
- Sort, categorize, and track records to ensure proper handling, retention, digitization, and disposition according to organizational requirements.
- Support document scanning and quality assurance processes, including preparation, digitization, indexing, and validation of electronic records.
- Maintain accurate inventory and storage locations for physical and digital records while ensuring data integrity and compliance with established procedures.
Coordinate with internal departments to facilitate record reviews, retrieval requests, status updates, and final disposition activities.
