The Client Intake & Sales Specialist is responsible for managing the full lifecycle of prospective clients—from initial inquiry through onboarding and post-engagement follow-up. This role combines client intake, consultative sales, and relationship management to deliver a seamless and high-quality client experience.
You will serve as the first point of contact for potential new clients, guiding them through the intake process, qualifying their needs, and helping them engage the firm’s legal services.
Client Intake and Sales- Own and manage all incoming leads from initial contact through engagement
- Qualify prospective clients and assess fit for firm services
- Conduct consultative sales conversations to convert leads into clients
- Clearly explain service options, scope, and next steps
- Generate engagement agreements and assist with payment processing, including financing options when needed
- Accurately document client information and interactions in firm systems
- Complete intake workflows and open new matters in the Case Management System
- Coordinate with internal teams to ensure timely case initiation
- Ensure proper service alignment to minimize firm risk and liability
- Follow up with new clients
- Re-engage prospective clients who did not initially move forward
- Maintain relationships with past clients
- Address client concerns and ensure a high level of satisfaction
- Respond professionally to reviews and feedback
- Manage payment plans and collect outstanding balances
- Maintain accurate, timely records of all communications and activities
- Provide feedback to leadership on lead quality and process improvements
- High school diploma or equivalent
- Minimum 2 years of experience in:
- Sales, client intake, or client-facing roles
- OR a professional services environment (legal, healthcare, financial services, etc.)
- Strong communication and interpersonal skills
- Ability to follow structured processes and workflows (SOPs)
- Comfortable with consultative sales and guiding client decisions
- Experience in a law firm environment
- Probate and or estate planning experience
- Familiarity with CRM or case management systems
