Position: Administrative Assistant II [210340]

Aquent is partnering with a globally recognized technology leader to find a highly organized and proactive Team Administrative Assistant for a contract opportunity in Cupertino, CA. This role is ideal for someone who thrives in a fast-paced environment, can manage competing priorities with discretion, and enjoys being a trusted support partner to busy teams and senior leaders.

In this role, you will provide administrative, operational, and project support under the direction of a VP’s Executive Assistant. You will help keep the department running smoothly by managing calendars, coordinating meetings and travel, supporting events, preparing documents and presentations, tracking expenses and purchase orders, and maintaining internal reports and databases. The right candidate will be resourceful, detail-oriented, comfortable with ambiguity, and able to communicate effectively with a wide range of personalities and leadership styles.

Responsibilities
  • Manage conference room calendars, meeting logistics, and team scheduling.
  • Coordinate meetings, events, travel, and department activities across multiple locations.
  • Support a large, diverse team with varying management styles and priorities.
  • Produce, edit, and reformat documents, correspondence, reports, and presentations.
  • Create high-quality Keynote presentations with graphic and text elements, often under tight timelines.
  • Prepare and maintain complex Excel spreadsheets, reports, databases, and internal tracking tools.
  • Process expense reports, purchase orders, and budget-related documentation.
  • Update organizational charts and maintain accurate team information.
  • Coordinate department moves, equipment moves, seating plans, and space planning needs.
  • Support inventory management by maintaining ongoing reports and internal systems.
  • Handle confidential and sensitive information with sound judgment and discretion.
  • Take initiative, follow through on requests, and ensure open items are completed accurately and on time.
  • Occasionally support work outside of core business hours as needed.
Required Qualifications
  • Minimum of 3 years of administrative work experience or equivalent experience.
  • Proven ability to work in a fast-paced team environment with ambiguity and independence.
  • Strong organization skills with the ability to prioritize and manage multiple tasks.
  • Excellent written and verbal communication skills.
  • Ability to work and communicate effectively with a variety of personalities, including senior-level executives.
  • High attention to detail and strong follow-through from request to completion.
  • Ability to appropriately handle highly confidential and sensitive information.
  • Comfortable learning new technologies, systems, and internal tools quickly.
  • Proficiency with Keynote, Excel, Pages, and Numbers.
  • Ability to occasionally work outside of core business hours.
  • Ability to work onsite in Cupertino, CA.
Preferred Qualifications
  • Experience creating polished, high-quality presentations in Keynote.
  • Experience preparing complex spreadsheets and special reports in Excel.
  • Experience working with budgets, purchase orders, expense reports, or equipment tracking.
  • Experience supporting seating, space planning, equipment moves, or inventory management.
  • Previous experience in a large corporate or technology environment.
