OverviewOur client is seeking an exceptional Executive Business Partner to provide high-level support to senior leadership within a fast-paced and dynamic organization. This is a highly visible role requiring exceptional organizational skills, sound judgment, and the ability to manage complex priorities with professionalism and discretion.

As a trusted partner, you will serve as the operational backbone of the executive office, ensuring seamless coordination of schedules, communications, travel, meetings, and key business initiatives.
Responsibilities Executive Calendar & Schedule Management- Manage a complex and frequently changing executive calendar across multiple time zones.
- Balance strategic priorities, operational commitments, and business objectives while optimizing executive time.
- Proactively identify and resolve scheduling conflicts before they become issues.
- Coordinate logistics for leadership meetings, interviews, business reviews, staff meetings, and external engagements.
- Ensure executives are prepared for meetings with the appropriate materials, context, and briefing information.
- Coordinate workspace and facility needs across multiple office locations as required.
- Support access and logistical requirements necessary for daily business operations and travel.
- Coordinate all domestic and international travel arrangements, including flights, accommodations, transportation, and travel documentation.
- Create detailed travel itineraries that anticipate executive needs and minimize disruptions.
- Manage travel changes and last-minute adjustments with efficiency and professionalism.
- Process and reconcile expense reports accurately and in compliance with company policies.
- Serve as a key point of contact for internal and external stakeholders interacting with the executive office.
- Manage communication workflows and correspondence with a high level of professionalism and discretion.
- Draft, edit, and proofread executive communications, presentations, and business materials.
- Maintain confidentiality while handling sensitive information and business matters.
- Plan and coordinate leadership offsites, team meetings, all-hands events, and employee engagement activities.
- Manage logistics including venue coordination, catering, audiovisual support, agendas, meeting materials, and communications.
- Track action items, commitments, deliverables, and follow-up activities on behalf of leadership.
- Support operational processes that improve efficiency across the executive's organization.
- Build strong relationships across multiple teams and organizational levels.
- Collaborate with administrative partners, business leaders, and cross-functional stakeholders to ensure alignment and execution.
- Serve as a trusted representative of the executive office while maintaining professionalism and discretion.
- 5–10 years of experience supporting C-suite, VP, SVP, or equivalent senior executives in fast-paced corporate environments.
- Exceptional calendar management experience involving complex, multi-time-zone scheduling.
- Strong written and verbal communication skills with the ability to create polished business correspondence and executive materials.
- Demonstrated ability to exercise sound judgment and maintain strict confidentiality.
- Exceptional organizational and prioritization skills with meticulous attention to detail.
- Proven ability to manage multiple competing priorities while maintaining accuracy and responsiveness.
- Proficiency with productivity, collaboration, and business applications, preferably within macOS and iOS environments.
- Strong problem-solving skills and the ability to work independently with minimal supervision.
