As an Operations Coordinator IV you will:
Role Overview
The Services Operations team seeks an organized, self-motivated Operations Coordinator to serve as the operational backbone for our Cupertino-based teams. This high-visibility role requires professionalism, tact, and diplomacy to engage across all organizational levels. Success relies on building strong partner relationships, proactive problem-solving, strong communication, and managing priorities in a fast-paced environment. Key Responsibilities
- Day-to-Day Operations:
Maintain seamless multi-building operations by resolving issues directly with SRM, Facilities, IS&T, Security, Janitorial, business teams, and vendors. - Global Asset Management:
Partner with the ops team to manage equipment for the global organization—vetting requests, placing policy-compliant orders, tracking shipments, managing loaner devices, and maintaining detailed asset logs. - Inventory Control:
Track, order, and stock snacks, beverages, and office supplies across all common spaces. - Facilities & Conference Rooms:
Manage conference room readiness, AV service requests, and room calendars; monitor mailrooms; and co-lead routine facility walkthroughs with the Building Manager. - Space Planning:
Maintain seating chart accuracy through audits and assist with large-scale office moves. - Executive Support:
Provide overflow assistance for event coordination, catering, and visitor escorting.
This is a Part-Time, Contract opportunity.
Shift: 24 hours per week, 100% Onsite (8 hours each day, Tuesday, Wednesday, Thursday)
Expected Duration: 12 months Qualifications & Experience
- 7–10 years of experience as an Operations Coordinator or similar administrative/operations role.
- Proven track record in vendor/stakeholder management within fast-paced environments.
- Hands-on experience with equipment ordering, shipment tracking, and inventory reconciliation.
- Background supporting facilities operations, seating logistics, or office relocations.
Skills & Requirements
- Core Competencies:
Superior written/verbal communication, strong judgment, discretion, and problem-solving skills with high attention to detail. - Execution:
Able to work autonomously and manage multiple concurrent projects flexibly. - Technical:
Experience with asset/inventory management systems (e.g., Oomnitza, custom tracking), Slack, and productivity tools (Calendar, Pages, Numbers, Keynote).
