About the Role

This position is employed by AL Homes Inc., a brand of AlphaX RE Capital. We are seeking a Contract Administrator who will be responsible for managing the preparation, execution, tracking, and administration of contracts and related documentation that support residential construction and real estate development projects. This role ensures subcontractor agreements, consultant contracts, purchase agreements, and other project-related documents are accurate, compliant, and properly maintained throughout the project lifecycle.

The ideal candidate is highly organized, detail-oriented, and proactive, with experience in construction administration or contract management. The successful candidate is capable of managing multiple contracts simultaneously while maintaining accuracy, confidentiality, and effective communication in a fast-paced residential homebuilding environment.

Key Responsibilities Contract Administration
  • Prepare, review, and process subcontract agreements, consultant contracts, vendor agreements, and other project-related contracts.
  • Coordinate the contract review and approval process with internal departments to ensure timely execution.
  • Track contract status from drafting through execution, renewal, amendment, and closeout.
  • Ensure contract terms, scopes of work, pricing, and supporting documentation are complete and accurate prior to execution.
  • Maintain contract logs and monitor key milestones, expiration dates, and renewal requirements.
Document Management & Control
  • Maintain organized electronic and physical contract files for all active and completed projects.
  • Manage document control procedures to ensure contracts, amendments, insurance certificates, and supporting records remain current and easily accessible.
  • Coordinate the distribution of executed agreements to internal teams and external partners.
  • Archive completed contracts and maintain document retention in accordance with company policies.
  • Support project closeout by ensuring all required contractual documentation has been completed and properly filed.
Compliance & Risk Management
  • Verify subcontractor licenses, insurance certificates, bonding, and other compliance documentation prior to contract execution.
  • Monitor contract requirements to ensure compliance with company policies and applicable federal, state, and local regulations.
  • Coordinate with Legal and Risk Management teams regarding contractual issues, revisions, or compliance concerns.
  • Assist with internal audits by maintaining accurate, complete, and audit-ready contract documentation.
  • Monitor contract expiration dates and notify stakeholders of upcoming renewals or required updates.
  • Serve as the primary point of contact for contract-related communications with subcontractors, consultants, and vendors.
  • Coordinate with Purchasing and Construction teams to ensure contracts align with project schedules and procurement activities.
  • Process contract amendments, change orders, and scope revisions as projects evolve.
  • Respond to requests for contract information and provide administrative support to project teams.
  • Assist in resolving contract discrepancies, missing documentation, and administrative issues.
