Design Operations Associate
Position Summary:
We are seeking a detail-oriented and organized individual to join our architectural and design firm as a Design Operations Associate. In this role, you will support administrative tasks, coordinate workflows, manage resources, and ensure timely delivery of design projects.
- Provide virtual office support, processing invoices, maintaining digital records, and assisting with procurement tasks.
- Coordinate with designers to ensure project tracking data is correct and up to date.
- Assist in managing team accounts, logging in, and training on software such as Docusign, Dialpad, Lark Payment Requests.
- Support designers with operations tasks: docusign files, submit payment requests, schedule meetings, coordinate projects, and coordinate with other departments.
- Coordinate with consultants, request proposals, assist in site visit schedules, track progress, and submit necessary payments.
- Manage design department recruiting process, collate applicants, schedule interviews.
- Ensure folder management is implemented and documents are saved in project folders.
- Assist client contract processing; align contract terms with industry standards, coordinate with sales, engineering, finance teams, assist with drafting, payment reminders, maintain meeting records.
- Other tasks to help operation of design team.
- Bachelor's degree in Architecture, Engineering, or related field.
- Experience in project coordination, operations, or administrative role, preferably in design environment.
- Proficiency in Microsoft Office Suite.
- Basic knowledge in Revit, AutoCAD, Bluebeam.
- Strong communication and presentation skills.
- Strong organizational skills, high attention to detail and accuracy.
- Ability to work independently and manage multiple tasks in fast-paced environment.
- Knowledge of industry-specific standards, if applicable.
