About the RoleThis position is employed by AL Homes Inc., a brand of AlphaX RE Capital. We are seeking a Purchasing Agent who will be responsible for supporting the procurement of labor, materials, equipment, and services required for residential construction projects. This role manages the bidding process, prepares purchase orders, maintains vendor relationships, and coordinates purchasing activities to ensure construction projects remain on schedule and within budget.
The Purchasing Agent plays an essential role in maintaining accurate purchasing records, supporting cost control initiatives, and ensuring subcontractors and suppliers meet company standards for quality, pricing, and performance.
The ideal candidate is highly organized, detail-oriented, analytical, and capable of managing multiple priorities in a fast-paced residential homebuilding environment. The successful candidate demonstrates strong negotiation skills, sound judgment, and a commitment to delivering cost-effective purchasing solutions while maintaining quality and schedule expectations.
Key Responsibilities Procurement & Purchasing- Coordinate the procurement of labor, materials, equipment, and services for residential construction projects.
- Prepare and manage RFPs, RFQs, bid packages, and purchase orders.
- Solicit competitive bids and evaluate vendor proposals for pricing, scope, qualifications, and schedule alignment.
- Prepare bid comparisons and purchasing recommendations for management approval.
- Issue purchase orders in accordance with approved budgets and company procedures.
- Monitor procurement activities to ensure timely material deliveries and subcontractor availability.
- Resolve purchasing issues that may impact project schedules or budgets.
- Build and maintain relationships with subcontractors, suppliers, manufacturers, and vendors.
- Source and onboard new vendors while maintaining approved vendor databases and compliance documentation.
- Coordinate vendor communications regarding pricing, deliveries, scheduling, and scope changes.
- Monitor vendor performance and assist in resolving pricing discrepancies and procurement-related issues.
- Review bids for completeness, accuracy, and compliance with project requirements.
- Analyze labor and material costs to support budgets and cost control initiatives.
- Compare vendor pricing and recommend cost-effective purchasing solutions while maintaining quality standards.
- Maintain pricing databases, monitor market trends, and support value engineering initiatives.
- Prepare purchasing reports and cost analyses for management.
- Prepare and administer purchase orders, subcontract agreements, and purchasing documentation.
- Verify pricing, quantities, delivery requirements, and scopes of work.
- Coordinate change orders, contract modifications, and purchasing revisions.
- Maintain purchasing records, track commitments, and support audit and document retention requirements.
- Coordinate purchasing activities with Construction Managers to support production schedules and construction milestones.
- Ensure timely material deliveries and subcontractor scheduling.
- Resolve procurement issues, including material shortages, delayed deliveries, and scheduling conflicts.
- Participate in project meetings and support procurement for new community launches through project closeout.
- Maintain purchasing data within ERP and construction management systems.
- Update pricing databases, vendor records, scopes of work, and purchasing templates.
- Generate purchasing reports, procurement logs, and management status updates.
- Recommend process improvements to enhance purchasing efficiency and reporting accuracy.
- Ensure purchasing activities comply with company policies and procedures.
- Verify subcontractor licensing, insurance, bonding, and qualification documentation.
- Maintain accurate purchasing records to support audits and contract compliance.
- Protect the confidentiality of vendor pricing, purchasing agreements, and procurement information.
