Job Description

The Order Management Specialist is responsible for receiving and processing customer orders, supporting order inquiries, and ensuring timely and accurate order fulfillment. This role plays a key part in managing order backlog, allocating product, and maintaining strong customer communication regarding order status and delivery expectations.

Responsibilities

+ Receive and process customer purchase orders (via email, e-fax, etc.), ensuring accuracy, completeness, and alignment with commercial terms.

+ Enter orders into the system within required time frames.

+ Manage backlog and support product allocation as needed.

+ Confirm receipt and entry of orders with customers.

+ Create and maintain ship-to and bill-to records in the system.

+ Proactively follow up with customers on incomplete orders, backorders, and expected ship dates.

+ Determine scheduled ship dates based on customer requirements and manufacturing capacity.

+ Run reports to track performance metrics such as on-time shipments and quality tracking.

+ Investigate and resolve non-standard or complex orders by partnering with Sales, Accounting, and customers.

+ Utilize CRM/reporting tools daily to manage order-related activities.

+ Support additional tasks and projects as assigned.

Essential Skills

+ Order processing

+ ERP knowledge, ideally Oracle but open to others

+ Salesforce experience highly preferred; other CRMs considered with industry experience

+ Customer service expertise

+ Order entry and purchase order processing

+ Problem-solving abilities

+ Attention to detail

Additional

Skills & Qualifications

+ 4+ years of experience in order management, order entry, or manufacturing customer service

+ Experience in medical device, biotech, or pharma industries is ideal; candidates from other regulated industries with Salesforce/ERP knowledge are also considered

Work Environment

The work environment is primarily remote, with the possibility of onsite or hybrid work based on personal preference. Initially, the role is 100% onsite for the temporary period. The team operates collaboratively across locations, with flexibility being crucial due to dynamic project demands. The position is a temporary role for at least 3 months, with the possibility of extension or conversion based on performance and company needs.

The work hours are from 8:30 AM to 5:30 PM.

Job Type & Location

This is a Contract position based out of Cypress, CA.

Pay and Benefits

The pay range for this position is $30.00 - $31.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
