Job Description

Essential Functions:

  • Provide administrative and clerical support related to Form I-9 completion, verification, and audit readiness.
  • Assist with reviewing, organizing, and validating employee Form I-9 documentation for accuracy and completeness in accordance with federal requirements.
  • Support HR staff in ensuring timely completion of Section 1, Section 2, and reverification processes as applicable.
  • Maintain accurate records and assist with filing, scanning, and electronic storage of I‑9 documents in compliance systems.
  • Communicate with employees and/or departments regarding missing or incomplete I‑9 documentation.
  • Perform data entry and updates in HRIS systems related to onboarding and employment eligibility verification.
  • Assist in identifying and resolving incomplete or pending I‑9 records by coordinating follow‑up with employees and HR staff to ensure timely completion and compliance.
  • Perform other duties as assigned.

Temporary Worker: A temporary worker is an employee who works less than 4 1/2 months in a school year.

Qualifications:

  • High school diploma or GED equivalent;
    Associate degree preferred.
  • Previous experience in HR, payroll, accounting, or administrative support environment, preferably within a public education setting.
  • Experience with HR Information Systems (HRIS) and/or electronic document management systems preferred.
  • Working knowledge of employment eligibility processes and Form I‑9 compliance preferred.
  • Strong attention to detail and accuracy in data entry and document review.
  • Proficiency in Microsoft Office Suite (Word, Excel, databases), Google Docs, and Adobe Acrobat Pro DC.
  • Strong organizational and time management skills, with ability to meet deadlines in a high‑volume environment.
  • Ability to maintain strict confidentiality of sensitive employee and compliance‑related information.

Terms of Employment:

This is a temporary assignment. The length of the temporary assignment will be determined based on project needs.

Salary/Paygrade:

The hourly rate is $16.38.

Work with frequent interruptions, maintain emotional control under stress. Repetitive hand motions; prolonged use of computer. Exposure to working inside and outside (moderate exposure to sun, heat, cold, and inclement weather), moderate exposure to noise, and moderate exposure to extended periods of sitting and/or standing.
