Fun Play ABA Therapy Services is a growing, client-centered Applied Behavior Analysis (ABA) provider dedicated to improving the lives of children with autism and their families. We are seeking a friendly, organized, and professional Front Desk Manager to lead the daily front office an clinic operations and ensure an exceptional experience for every family who walks through our doors.
Position SummaryThe Front Desk Manager is responsible for overseeing the daily operations of the office while serving as the primary point of contact for clients, families, visitors, and staff. This individual will manage scheduling, administrative workflows, front desk personnel, and client communications to ensure a welcoming, efficient, and organized clinic environment. The ideal candidate is bilingual, customer-service oriented, detail-focused, and thrives in a fast-paced healthcare setting.
Key Responsibilities Front Office & Administrative Operations- Oversee the daily operations of the front desk and Clinic
- Greet clients, families, and visitors in a professional and welcoming manner.
- Answer incoming phone calls, emails, and general inquiries.
- Supervise and support front desk and administrative staff.
- Coordinate provider schedules and client appointments.
- Verify insurance benefits and assist with authorization tracking.
- Maintain accurate client records and electronic documentation.
- Assist with onboarding new clients and collecting required paperwork.
- Serve as a bilingual point of contact for English- and Spanish-speaking families.
- Address parent concerns and resolve administrative issues promptly and professionally.
- Coordinate with BCBAs and clinical staff to ensure smooth daily operations.
- Ensure compliance with HIPAA, company policies, and administrative procedures.
- Maintain office supply inventory and oversee front office organization.
- Prepare administrative reports and assist leadership with operational tasks.
- Assist with coordinating community outreach events, vendor visits, and clinic events.
- Maintain professional relationships with referral sources, vendors, and community partners.
- Support marketing and outreach initiatives as assigned.
- High school diploma or GED required;
Associate's or Bachelor's degree preferred. - Minimum 2 years of front office, administrative, or supervisory experience, preferably in a healthcare or behavioral health setting.
- Bilingual (English/Spanish) required.
- Excellent customer service and interpersonal skills.
- Strong organizational, leadership, and multitasking abilities.
- Proficiency in Microsoft Office and electronic health record (EHR) systems.
- Experience with Central Reach or similar ABA practice management software is preferred.
- Knowledge of HIPAA, insurance verification, and healthcare office procedures preferred.
