In this role, you will provide executive-level support to the Associate Vice President for Real Estate and Auxiliary Services.
Additionally, you will coordinate strategic initiatives, manage workflows, and ensure smooth communication across multiple operational units. The role strengthens leadership efficiency by maintaining organization, documentation accuracy, and timely execution of key institutional priorities.
Job Duties- Manage executive calendars, scheduling, and prioritization of meetings for the Associate Vice President.
- Prepare correspondence, presentations, and briefing materials for executive-level communication and decision-making.
- Coordinate meetings, organize materials, and document accurate notes and action items consistently.
- Track strategic initiatives, key performance indicators, deadlines, and deliverables across departments.
- Maintain organized documentation systems, dashboards, and confidential executive records securely.
- Support portfolio-level coordination, including report preparation and cross-unit communication activities.
- Oversee office communications, including phone calls and shared email accounts, efficiently.
- Develop templates, reports, and data summaries to improve workflow efficiency and reporting consistency.
- Assist with compliance documentation, budgeting summaries, and institutional review processes.
- Bachelor’s degree in business administration, public administration, or a related discipline.
- Minimum of one and a half years of administrative or office coordination experience.
- Strong time-management and organizational skills with the ability to manage competing priorities.
- Excellent written and verbal communication skills for professional and executive-level interactions.
- Proficiency in Microsoft Office tools, including Word, Excel, Outlook, and PowerPoint applications.
- Ability to handle confidential information with discretion and maintain professional integrity consistently.
- Basic understanding of budgeting, reporting, or financial tracking processes is advantageous.
- Willingness to undergo background checks, including credit and employment verification processes.
