The Office Support Supervisor will be responsible for the supervision and control of general office functions: payroll, A/P, A/R, sales reporting, inventory, and operating statements. Supervises day‑to‑day data collection and completes basic accounting reports.
Job Responsibilities- Provide excellent customer service in response to phone and online inquiries from employees and managers.
- Resolve inquiries by accessing information in multiple HR systems.
- Triage general inquiries to ensure accurate work category is assigned.
- Raise more sophisticated issues to Tier 2 within myHR or the appropriate COE for advanced support and follow‑up as the need arises.
- Process transactions by collecting required information or backup documentation from the employee, manager, or HR.
- Respond to phone or online help requests on navigating the HR Portal and other HR‑related systems.
- Perform quality assurance reviews on electronic and manual transactions.
- Partner with Payroll and other COEs, as appropriate, to resolve issues.
- Analyze and coordinate office operations and procedures such as typing, accounts payable, accounts receivable, payroll, flow of correspondence, filing, requisition of supplies, and other clerical services.
- Evaluate office production, revise procedures, or devise new forms to improve efficiency of workflow.
- Establish uniform correspondence procedures.
- Formulate procedures for detailed retention, protection, retrieval, transfer, and disposal of records.
- Review clerical and personnel records to ensure completeness, accuracy, and timeliness.
- Prepare activity reports for mentorship of management, using computer.
- Coordinate activities of various clerical departments or workers with department.
- Assist unit management in the preparation of organizational invoices and monthly financial and other accounting responsibilities as needed.
- Compile, store, and retrieve managerial data, using computer.
- Help coordinate and supervise meetings within the office.
- Maintain inventory for office supplies and stock daily.
- Be the point person in the office for resolution to IT glitches and outages that affect the entire office.
- Ensure office is well maintained and is tended to accurately by maintenance and janitorial staff.
- Other duties as needed.
- Use logical thinking to perform a variety of office tasks that require special skills and knowledge.
- Make decisions based on company policy and good judgment.
- Follow instructions without close supervision.
- Speak and write clearly and accurately.
- Plan own work and sometimes the work of others.
- Proficient with all Microsoft Applications.
- Requires basic accounting skills.
- Have developed language skills to the point to be able to write announcements, letters, summaries, and reports, using prescribed format.
- Minimum 2 years experience preferred; 4 years experience.
This role may have physical demands including, but not limited to, lifting, bending, pushing, pulling and/or extended walking and standing. This role may also require uniforms and/or usage of Personal Protective equipment (PPE).
