Administrative Assistant's responsibilities
  • Composes and types a variety of materials and documents including correspondence, memos, forms, records and charts from rough drafts, general directions, or dictation; proofs and edits final materials for accuracy and clarity.
  • Compiles data from logs, lists, invoices and treatment records, and prepares regular summary reports for supervisors to monitor income, expenses and contract compliance.
  • Administers or processes routine financial transactions such as petty cash, bank deposits, receipts, ledgers, client funds, and related items.
  • Assist in processing billings by logging and coding treatments and services, recording treatment hours, or entering required information into records and databases as assigned.
  • Maintains record keeping and filing systems including client, personnel, payroll, attendance, work and purchase order records.
  • Completes requisitions for approved office supplies and standard department inventory; accepts receipts and invoices for non-routine expenditures and obtains necessary payment authorizations.
  • Schedules meetings and appointments; makes routine travel and conference arrangements.
  • Acts as administrative liaison between the program/department and central offices, exchanging information related to operations, budget, payroll or personnel procedures.
  • Receives and screens visitors and telephone calls, and notifies appropriate personnel or records messages.
  • Performs general office duties such as copying, mailing, filing, and processing time cards for payroll; records and types meeting minutes.
  • May provide client services such as assisting with forms and applications for insurance or public assistance, verifying treatment funding sources or insurance coverage, maintaining case files, and scheduling appointments.
  • Work within a correctional facility.
Job Requirements
  • High School Diploma or GED
  • One (1) year of administrative, clerical or office operations experience
  • Must be able to obtain Georgia Department of Corrections clearance
Preferred Qualifications
  • Proficient in MS Office Suite (Word, Excel, Outlook)
  • Attention to detail
  • Experience in Kronos
  • Experience with My Avatar
  • Previous experience working within a correctional facility
Physical Requirements
  • Ability to communicate with others to gather and exchange information
  • Ability to respond to telephone inquiries and proofread, verify data from printed forms and computer displays
  • Ability to use a keyboard and display terminal to enter, retrieve, and audit information and data
  • Ability to pull, lift and transport files and documents within the office or assigned location
Compensation

Based on experience and credentials:
Range begins at $16.83 - $17.50 per hour. Gateway Foundation conducts annual reviews including merit increases.
