People Operations Coordinator

Ascentec Engineering is hiring a People Operations Coordinator who will support the People & Culture team by assisting with daily people operations activities and ensuring efficient processes, data accuracy, and positive employee experiences throughout the employee's lifecycle. Key areas include onboarding coordination, employee data management, HR reporting, offboarding, events planning, and general HR support.

This position is on-site (not remote/not hybrid) at our Tualatin and Dallas, Oregon locations. The Coordinator will be expected to travel to our Dallas location 2-3 days a week. This position is not eligible for visa sponsorship or transfer of visa sponsorship.

Core Responsibilities:

  • Support the coordination and facilitation of weekly new-hire orientation as needed to deliver a consistent and engaging onboarding experience.
  • Manage onboarding tasks after offer acceptance, coordinating I-9 verification and E-Verify, and assigning and completing all onboarding paperwork in Paylocity.
  • Coordinate with IT to ensure new-hire equipment, workstation, and system access are prepared before start dates.
  • Submit employee actions in Paylocity, including hires, terminations, transfers, and status changes, ensuring data accuracy and timely entry.
  • Manage the HR ticketing system by responding to employee questions and concerns within the role's scope and assigning tickets to appropriate HR team members.
  • Ensure the employee offboarding process is completed, including completed documentation, updated systems, and adherence to compliance requirements.
  • Conduct exit interviews to departing employees, document reasons for separation, and ensures rehire eligibility status is clearly recorded.
  • Respond to employment verification requests.
  • Maintain accurate and confidential employee records and ensure data integrity across all HR systems.
  • Maintain a library of current job descriptions for all positions, updating them as titles or responsibilities change.
  • Provides administrative and reporting support to the HR team, including metrics, correspondence, and tracking logs.
  • Support HR initiatives such as engagement programs, compliance training, and policy implementation.
  • Assist with planning and coordinating company events or meetings, including researching vendors, obtaining quotes, coordinating supplies and logistics, supporting setup and cleanup, and communicating event details company-wide.
  • Support the HR department's transition to paperless recordkeeping by scanning, uploading, and organizing paper personnel records and other HR documents, ensuring accuracy, confidentiality, and easy retrieval.
  • Assist with travel arrangements for employees as needed.

Minimum Requirements Education/

Certifications:

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or related field.
  • PHR certificate is a plus

Experience:

  • 1–3 years of HR or administrative experience.
  • Experience with Paylocity preferred.
  • Familiarity with employment compliance practices is a plus.

  • Strong organizational skills and attention to detail.
  • Proven commitment to data accuracy and confidentiality.
  • Excellent customer service and written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficient in HR systems, Microsoft Office Suite, and data reporting tools.
  • Valid driver's license and access to reliable transportation.

Work Environment and

Working Conditions:

  • Primarily works in an office within a manufacturing facility, with periodic access to production areas.
  • Works on-site in Tualatin, Oregon, with travel to the Dallas, Oregon facility 2-3 days per week as needed.
  • Works with frequent interruptions, competing priorities, and regular interaction with employees, managers, and vendors.
  • Handles confidential employee information and sensitive matters requiring discretion and professionalism.
  • Uses computers, scanners, and other office equipment regularly to maintain records and support daily HR operations.
  • May encounter machinery noise and other manufacturing conditions when entering production areas; follow all applicable safety procedures and personal protective equipment requirements.
