Job Description
Delta Food Supplies is seeking a dependable, detail-oriented Bookkeeper to manage daily accounting operations for our growing food distribution business. This position will be responsible for maintaining accurate financial records in Quick Books Desktop, managing accounts payable and receivable, completing reconciliations, preparing journal entries, tracking loans and lines of credit, and supporting tax and CPA reporting.
The Bookkeeper will work closely with company leadership and our external CPA to ensure financial records are organized, accurate, and ready for monthly, quarterly, and annual reporting.
Responsibilities- Manage Accounts Payable and Accounts Receivable, including vendor bills, customer invoices, payments, and collections follow-up.
- Perform regular bank account, credit card, and merchant-processing reconciliations.
- Maintain accurate bookkeeping records in Quick Books Desktop.
- Prepare and post journal entries for payroll, payroll taxes, employee advances, prepaid expenses, accruals, and adjustments.
- Track lines of credit, equipment loans, vehicle loans, and related monthly payments.
- Maintain loan schedules and assist with bank reporting for financing and credit-line renewals.
- Prepare financial reports, including profit and loss statements, balance sheets, A/R aging, A/P aging, and cash-flow reports.
- Manage intercompany billing and reconciliations between related entities.
- Prepare Texas quarterly sales tax filings and support annual property-tax reporting.
- Prepare annual 1099 forms for contractors and vendors.
- Organize documentation for tax filings, insurance audits, Workers’ Compensation audits, and financial reviews.
- Work with the external CPA on monthly and quarterly close, reconciliations, adjusting journal entries, depreciation entries, and annual tax preparation.
- Assist leadership with bookkeeping-related reporting and other accounting needs.
- Proven experience as a Bookkeeper, Full-Charge Bookkeeper, or Accounting Specialist.
- Strong proficiency in Quick Books Desktop is required.
- Experience managing full-cycle Accounts Payable, Accounts Receivable, invoicing, payment application, and collections.
- Strong experience with bank and credit-card reconciliations.
- Ability to prepare and understand journal entries, including payroll, tax, accrual, and adjustment entries.
- Experience tracking loans, equipment financing, vehicle loans, and lines of credit.
- Experience preparing Texas sales tax reports and annual 1099 forms preferred.
- Comfortable working with external CPAs and preparing supporting documents for audits, financial reviews, and tax filings.
- Experience with distribution, wholesale, inventory, logistics, transportation, or multi-entity businesses is preferred.
- Strong Excel and financial reporting skills.
- Knowledge of general bookkeeping principles and GAAP-based accounting practices.
- Highly organized, detail-oriented, trustworthy, and able to work independently.
