Billing Coordinator
The Billing Coordinator will oversee billing activities for an assigned group of attorneys and matters. This position will be responsible for preparing and reviewing invoices, managing electronic billing submissions, resolving billing issues, and ensuring invoices meet both internal standards and client-specific requirements.
The ideal candidate will have prior legal billing experience, strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities in a deadline-driven environment.
Key responsibilities include:
- Prepare, review, and revise draft invoices based on attorney and client requirements.
- Process detailed and complex invoices involving multiple parties, discounts, and specialized billing arrangements.
- Manage electronic invoice submissions and address rejected, disputed, or underpaid bills.
- Maintain accurate client, matter, timekeeper, rate, and billing information within applicable billing systems.
- Respond to billing questions and collaborate with attorneys, paralegals, clients, and administrative staff.
- Monitor client billing guidelines and ensure invoices follow required procedures and deadlines.
- Prepare billing reports, budgets, accruals, schedules, and other financial analyses.
- Review new matters and billing arrangements for accuracy and completeness.
- Maintain documentation regarding special billing instructions and client-specific procedures.
- Assist with process improvements, system updates, and other billing-related projects as needed.
Qualifications include:
- 1–3 years of legal billing experience required.
- Previous experience within a law firm or professional services environment preferred.
- Experience with legal billing/e-billing platforms such as 3E and eBilling/eBilling
Hub. - Intermediate proficiency with Microsoft Excel.
- Strong attention to detail and accuracy.
- Aderant system experience preferred.
- Excellent organizational and time-management skills.
- Ability to prioritize multiple assignments and meet strict deadlines.
- Strong written and verbal communication skills.
- Comfortable interacting with professionals at various levels.
- Associate or bachelor's degree in accounting, business, or a related field preferred.
- Candidates with experience at a mid-sized law firm are strongly preferred.
