Job Description

A client of Innova Solutions is immediately hiring for a Secretary II
.

Position type: Full-time, Contract.

Duration: 12 months with possible extension.

Location: Gary, IN.

What You’ll Do Administrative & Business Support
  • Be the go‑to support partner for department leaders and teams, ensuring smooth daily operations.
  • Create polished correspondence, reports, presentations, meeting minutes, and internal communications.
  • Manage calendars, schedules, and meeting logistics—including room bookings, conference calls, and visitor coordination.
  • Handle internal and external communications via phone, email, and system‑based requests with professionalism and responsiveness.
  • Maintain accurate data entry across databases, logs, and records with a sharp eye for detail.
Office & Operational Coordination
  • Support purchasing and procurement activities by tracking requisitions, coordinating with vendors, and confirming deliveries.
  • Assist with timekeeping, labor entry, and payroll adjustments using internal systems such as SAP or proprietary tools.
  • Process work orders, maintenance requests, and operational documentation efficiently.
  • Coordinate travel plans, expense reports, and reimbursements for staff.
  • Maintain organized digital and physical filing systems in line with audit and compliance standards.
Documentation & Compliance Excellence
  • Ensure operational, environmental, and safety documentation is accurate, complete, and up to date.
  • Adhere to corporate document control and record‑retention policies.
  • Provide support during audits and assist with regulatory documentation when needed.
Collaboration Across Teams
  • Work closely with plant leadership, engineers, supervisors, maintenance teams, and corporate partners.
  • Act as a communication bridge across departments to ensure clarity and alignment.
  • Support onboarding and training logistics for new employees and contractors.
What You Bring Required Experience & Skills
  • 3–5 years of experience in administrative, clerical, or office support roles—ideally within industrial, manufacturing, construction, or corporate environments.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Exceptional organizational abilities with meticulous attention to detail.
  • Proven discretion in handling confidential information.
  • Ability to juggle multiple priorities and adapt in a fast‑changing environment.
  • Comfort working in or around large industrial facilities.
Nice to Have
  • Experience supporting operations in manufacturing, steel, or heavy industrial settings.
  • Hands‑on experience with systems such as SAP, Ariba, Oracle, or similar enterprise platforms.
  • Familiarity with scheduling tools, payroll/timekeeping systems, or maintenance management software.
  • Knowledge of safety procedures and documentation standards in industrial environments.
