The Executive Personal Assistant provides high-level administrative and personal support to a senior executive. This role requires exceptional organization, discretion, and anticipation of needs. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment while juggling both professional and personal priorities.

Responsibilities

Executive Support

  • Manage complex calendars, scheduling meetings, travel, and events
  • Act as gatekeeper for the executive’s time, prioritizing requests and communications
  • Prepare agendas, presentations, briefing materials, and follow-ups
  • Coordinate with internal teams and external partners on behalf of the executive
  • Handle confidential information with the highest level of discretion

Personal & Lifestyle Management

  • Oversee personal appointments, travel, and logistics
  • Manage household vendors, services, and special projects
  • Coordinate personal events, gifts, and reminders
  • Anticipate needs and resolve issues before they arise

Operations & Administration

  • Track expenses, invoices, and reimbursements
  • Maintain organized digital and physical filing systems
  • Support ad-hoc projects and special initiatives
  • Identify opportunities to streamline processes and improve efficiency
Qualifications
  • 4+ years supporting senior executives or high-profile individuals
  • Exceptional organizational, time management, and multitasking skills
  • Strong written and verbal communication skills
  • High emotional intelligence and professionalism
  • Ability to work independently and problem-solve under pressure
  • Tech-savvy (Google Workspace, Microsoft Office, scheduling tools)
  • Flexible availability as business needs require
