Position: Specialist III, Dallas Education Foundation (226 days)

Job Description Description

  • Assist in managing 1,000+ donor constituent records in the donor management database; accurately update and revise records, as well as add new constituent records.
  • Assist in managing all aspects of gift processing, to include drafting donor thank you letters, receipts, and other gift related communications; and create and revise donor letter templates.
  • Support campaigns, funds, appeals, and special events in the donor database system.
  • Ensure all donors receive appropriate acknowledgement of their gifts to the Dallas Education Foundation in a timely manner. Ensures that all donors receive documentation of the gift that complies with all applicable laws and regulations.
  • Assist in the preparation of regular/monthly reports regarding donors and/or gift information, for mailing lists, donor status reports, newsletter, grants or other needs, when requested by the Executive Director; create custom reports, as requested; provide document production for departmental board reports or other special projects.
  • Track statistics relevant to development and provide Executive Director with written materials necessary for donor stewardship efforts.
  • Attend and take detailed minutes at monthly board meetings and committee and task force meetings as requested by Executive Director.
  • Support and utilize the grant management tracking process and maintain all aspects of collecting and information related to grants and grant opportunities including ensuring organization and accuracy of grant calendar and grant reporting
  • Work with Dallas ISD Finance and Volunteer and Partnership Services to gather information necessary to disburse donations to Dallas ISD
  • Assist with scheduling appointments and meetings for Executive Director with detail and accuracy
  • Support additional administrative, development and organizational efforts as needed including storage of information of electronic and physical files, and creating process flow diagrams for tasks
  • Order and manage inventory of office supplies
  • Submit and manage expenses for Executive Director and perform other duties as requested and within areas of expertise
Qualifications
  • Bachelor’s degree or a minimum of two (2) years’ experience with grant writing and/or development operations in lieu of a degree preferred.
  • Previous experience with non-profit fundraising/development operations preferred
  • Ability to work accurately with reports and numbers.
  • Ability to calculate moderately complex figures and amounts to accurately report activities and budgets
  • Ability to apply common sense and problem-solving ability to carry out tasks with one or two-step instructions
  • Proficiency in the Microsoft Office Suite, including and especially Outlook email and calendar functions; ability to create PowerPoint presentations a plus
  • Ability to learn new software applications and technology including donor management software such as Bloomerang and Mobile Cause
  • Up-to-date technical aptitude of Internet for resource and research and self-guided learning
  • Analytical skills, professional acumen, business ethics, thorough understanding of continuous improvement processes, problem solving, respect for confidentiality, and strong communication skills
  • Strong proofreading skills with attention to detail; ability to edit letters, reports and documents
  • Aptitude to evaluate and determine next steps of project(s) without prompting or instructions
  • Ability to be flexible and adaptable within a growing, fast-pace organization
  • Maintain high standards of performance, quality, credibility, and integrity
  • Professional, friendly demeanor; ability to effectively communicate with donors and internal staff
  • Effective verbal and written communication skills with the ability to write clear, structured, and articulate documentation
