Position Summary
The Administrative Assistant provides high-level administrative and operational support to executive leadership and cross-functional teams. This role is critical to ensuring the smooth day-to-day functioning of the organization by managing schedules, coordinating communications, maintaining records, and supporting internal processes. The ideal candidate is highly organized, detail-oriented, discreet, and comfortable supporting senior leadership in a fast-paced, mission-focused environment.
Key Responsibilities
Executive & Administrative Support
- Provide direct administrative support to executive leadership, including calendar management, meeting coordination, and travel logistics.
- Prepare agendas, take meeting notes, and track follow-up action items.
- Draft, proofread, and format correspondence, reports, and internal documents.
- Manage confidential and sensitive information with professionalism and discretion.
- Serve as a central point of contact for internal staff, external partners, and visitors.
- Coordinate office operations, including supplies, mail, filing systems, and shared calendars.
- Support onboarding and offboarding logistics in coordination with HR (paperwork, scheduling, access coordination).
- Assist with tracking deadlines, deliverables, and administrative workflows across departments.
- Support internal communication efforts by coordinating meetings, schedules, and shared resources.
- Assist in organizing events, leadership meetings, trainings, and community engagements.
- Maintain accurate records, databases, and document management systems.
- Provide ad-hoc administrative support to leadership and teams as needed.
- Assist with basic data entry, reporting, and document tracking.
- Support continuous improvement of administrative processes and systems.
Required
- High school diploma or equivalent required; associate’s degree or higher preferred.
- 3+ years of administrative or executive support experience.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- High level of professionalism, discretion, and emotional intelligence.
- Proficiency in Microsoft Office and/or Google Workspace (Outlook/Gmail, Word/Docs, Excel/Sheets, Calendars).
- Excellent written and verbal communication skills.
- Experience supporting executive-level leaders.
- Prior experience in a nonprofit, mission-driven, or community-based organization.
- Familiarity with HR, payroll, or basic accounting support.
- Experience working in fast-paced or evolving organizational environments.
