Position OverviewThe Senior Administrative Associate is responsible for providing administrative support in order to ensure that customer service is provided in an effective and efficient manner. This position is responsible for receptionist duties which includes welcoming and directing visitors (e.g. students, faculty, staff, attorneys and judges, donors, university officials, elected officials, and others) by greeting them in person or on the telephone, and for answering or referring inquiries.
Responsible for routine administrative support that includes inventory, developing/creating correspondence, account reconciliation, event scheduling, purchasing, data collection, meeting logistics and travel vouchers. Position duties require some independent judgment and decision-making; resolves routine questions where problems have occurred before and their solutions generally are familiar; and refers more complex issues to higher levels.
High School diploma or GED equivalent three (3) years of general office or clerical experience; or any equivalent combination of education, training, and experience.

- Ability to effectively communicate.
- Knowledge of policies, practices, procedures, and terminology of assigned function.
- Skill in composing routine letters and preparing reports.
- Skill in recording and compiling material for reports.
The preferred candidate will possess the following additional qualifications:
- 5 years of progressively responsible office administration experience.
- Previous University/College Office Administration experience.
- Exceptional Customer service skills Considerable knowledge of university policies and procedures related to functional area (or ability to rapidly assimilate).
- Strong problem solving skills Ability to communicate effectively with diverse populations verbally and in writing.
- Ability to develop and maintain effective working relationships.
- Ability to work independently.
- Knowledge of safety and security precautions appropriate to work performed.
Job Duties
- Answers, directs, and relays telephone, fax, and email messages, creates and maintains department filing system.
- Monitors and maintains adequate levels of office supplies and recruitment materials. Monitors and executes expenditures within budgets.
- Prepares travel vouchers for the Associate Dean.
- Provides reference materials to interested visitors and responds to public inquiries.
- Serves as a backup to other Administrative Personnel.
- Follows appropriate safety procedures and security measures related to work performed.
- Understands and follows rules regarding principles of confidentiality relating to all office and student matters.
- Provides input and administrative support for proposed programs and operational changes.
- Assists with creation and maintaining filing systems.
- Communicating with others to exchange information.
- No adverse environmental conditions expected.
