The Executive Assistant provides high-level administrative support to senior executives by managing schedules, communications, and operational tasks. This role requires strong organizational skills, discretion, and the ability to anticipate needs while maintaining confidentiality. The Executive Assistant serves as a key liaison between executives, employees, clients, and external partners.
Key Responsibilities:Executive Support
- Manage executive calendars, appointments, and travel arrangements.
- Prepare and organize documents, reports, presentations, and correspondence.
- Prioritize emails, phone calls, and meeting requests.
- Coordinate and schedule meetings, including preparing agendas and taking minutes.
- Track deadlines and ensure timely completion of action items.
- Act as the primary point of contact between executives and internal/external stakeholders.
- Draft and edit professional communications on behalf of executives.
- Handle confidential and sensitive information with discretion.
- Build and maintain positive relationships with clients, vendors, and partners.
- Manage expense reports, invoices, and budget tracking.
- Coordinate special projects and company events.
- Maintain organized filing systems (digital and physical).
- Support office management functions as needed.
- Assist with research and data analysis for executive decision-making.
- Monitor project progress and provide status updates.
- Identify opportunities to improve processes and efficiency.
Education
- Associate’s or Bachelor’s degree in Business Administration or related field (preferred).
- 3–7+ years of experience supporting senior-level executives.
- Experience managing complex calendars and travel arrangements.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- High level of professionalism and confidentiality.
- Proficiency in Microsoft Office, Google Workspace, and scheduling tools.
- Ability to multitask and prioritize in a fast-paced environment.
- Strong problem-solving and critical-thinking abilities.
- Familiarity with project management software.
- Event planning experience.
- Office-based
- May require occasional extended hours to support executive needs.
