This non‑exempt employee will support attorneys in meeting client objectives by applying strong organizational, analytical, and communication skills. The role requires proficiency in document management and technology, along with a high level of attention to detail.
Essential Duties- Perform assigned factual and/or basic legal research tasks using all available resources including libraries and computer data systems.
- Attend and contribute to organization/section meetings.
- Prepare UCC filings and supporting documentation.
- Coordinate and assemble signature pages for transactions.
- Review investor documents and prepare related tracking spreadsheets.
- Develop new client checklists to capture bank‑specific requirements for deal closings.
- Support the Knowledge Management and Innovation Specialist with various knowledge management initiatives, including:
- Gathering knowledge and data through trackers, surveys, and one‑on‑one interviews; maintaining systems for storing and accessing information.
- Sharing knowledge and data through newsletters, training, resource materials, and annual reports.
- Assisting with innovative efforts, including integrating tools such as Harvey for LPA reviews.
- Attend and participate in training programs for professional development and building technology skills.
- Meet the billable hours expectations and adheres to best practices.
- Perform other related duties as needed or assigned.
The Project Assistant reports directly to the Office Administrator.
Qualifications Knowledge/ExperienceThe Project Assistant must be able to effectively utilize electronic document applications while having the ability to create, compose, and edit written materials. Knowledge of Outlook and Adobe platforms is preferred.
SkillsThe Project Assistant must possess excellent verbal and writing skills. Strong computer proficiency is a must, with particular knowledge of Microsoft Word, Excel and PowerPoint. Strong communication skills are a must. Must be familiar with effective administrative processes and possess the ability to manage a multitude of tasks and cases simultaneously. The Project Assistant should be able to work independently with minimal supervision, as well as be an effective member of the team.
The ability to work with many different types of personalities at all levels of the organization is a must. Strong organizational, multi‑tasking and prioritization skills are required, as well as strict attention to detail. This individual will need to meet hard deadlines in a fast‑paced environment.
Must possess a high school diploma or equivalent; college graduate preferred.
Physical DemandsMust be able to move around the office up to 15% of the time to make copies, file, etc.; remain stationary at least 75% of the time. This position constantly operates computers and other office productivity machines (e.g., fax machine, copier, printer, etc.). Occasionally required to move documents or files weighing up to 15 lbs. This position requires constant communication and exchange of information with the Firm attorneys, clients and staff.
This position must be able to inspect and observe information on a computer screen at least 80% of the time.
Office environment, position may require some travel including weekend and week‑long travel. Overtime may be required.
