The Role

We’re looking for a highly organized, reliable Administrative Assistant to serve as a trusted operational partner to the Founder. This role is the administrative and coordination backbone of the company, supporting day-to-day execution, structured communication, and meeting governance.

This is not a leadership role, but it is a high-trust position with visibility across the organization. You’ll help bring order to a fast-moving startup environment, protect the Founder’s time, and ensure follow-through across priorities.

As the company grows, the scope of this role may expand while remaining execution-focused.

Founder & Administrative Support
  • Manage the Founder’s calendar, meetings, travel, and scheduling
  • Handle inbox management, correspondence, and follow-ups
  • Prepare agendas, notes, and action items for meetings
  • Track commitments and ensure follow-through
Meeting & Communication Coordination
  • Schedule and coordinate internal meetings and company-wide calls
  • Distribute agendas in advance and circulate notes afterward
  • Maintain records of decisions and action items
  • Ensure meetings are efficient, organized, and outcome-driven
Organization & Execution
  • Track deadlines, priorities, and operational tasks across initiatives
  • Maintain organized digital records and shared documentation
  • Support execution so projects don’t stall
  • Assist with materials for external meetings and partnerships
Confidentiality & Judgment
  • Handle sensitive information with discretion and integrity
  • Represent the Founder and company professionally in communications
  • Protect the Founder’s time and focus
Who You Are
  • Exceptionally organized with strong time-management skills
  • Clear, professional communicator (written and verbal)
  • Comfortable operating in a fast-moving, evolving environment
  • Detail-oriented with strong follow-through
  • Experience supporting founders or executives preferred
  • Confident representing a company internally and externally
Bonus (Not Required)
  • Startup or fast-paced environment experience
  • Familiarity with executive support tools and meeting coordination
  • Strong judgment with confidential information
