Job Summary

Under the direction of the Director of Venue Rentals & Sales, the Venue Sales Administrator's main responsibility will be to provide the team with the necessary sales support and administrative functions to meet and exceed set rental sales goals. The Venue Sales Administrator will be responsible for all inbound activity, including fielding rental requests, checking calendar availability, responding to new and established clients, and supporting clients and the rental sales team from conception to settlement.

The successful Venue Sales Administrator will be a dynamic, engaging professional who builds rapport effectively through phone, email, and in-person interactions. They will promote the center as a premier venue to prospective clients, accelerating the rental process through exceptional responsiveness and strong organizational skills.

In addition to the duties listed below, this position requires strong organizational skills and a history of excellent customer service. They should be sales‑minded, tactical, and be a team player. The Venue Sales Administrator must be self‑motivated, creative, outgoing, and eager to close the deal.

Position Responsibilities
  • Assist in meeting or exceeding the sales goals as set by the leadership team by expediting administrative tasks.
  • Assist with venue availability checks and reservation holds; maintain accurate scheduling across internal systems.
  • Coordinate with internal departments and external clients to facilitate and lead rental tours and walk‑throughs and lead select tours and follow up site visits as needed.
  • Deliver rental estimates and quotes to external clients and respond to questions and concerns.
  • Field and respond promptly to rental inquiries via email and phone; provide initial information and route leads appropriately.
  • Coordinate and manage administrative tasks related to venue rental sales.
  • Track and manage documentation related to event logistics, contracts, settlements, insurance, permits, and payments.
  • Maintain sales reporting – including call and inquiry logs, and revenue reports.
  • Support the Director of Venue Rentals and Sales with proposal preparation, contracts, invoices, and rental agreements.
  • Coordinate with internal departments (e.g., production, front of house, box office) to ensure alignment on booked events.
