Position Overview:

The MSP Program Coordinator provides essential administrative and operational support for an MSP Program. This role partners with recruiters, contractors, and internal operations teams to ensure staffing workflows run smoothly.

This is a highly execution-focused role requiring strong attention to detail, high-volume environment, and the ability to manage multiple workflows simultaneously. The coordinator plays a critical role in tracking hiring activity, coordinating interviews, supporting onboarding, validating contractor data, assisting with reporting, and maintaining data accuracy across the program.

Key Responsibilities:

Program Operations & Workflow Management

  • Provide day-to-day operational and administrative support for the client program, ensuring staffing activity progresses efficiently and accurately
  • Maintain visibility into hiring workflows, proactively identifying candidates with delayed progress, pending feedback, or potential process issues, and elevate as appropriate
  • Assist with tracking requisitions, candidate submissions, and interview progress, ensuring records are accurate and up to date
  • Coordinate interview logistics, including scheduling, confirmations, and status tracking
  • Monitor candidate movement through the interview lifecycle and maintain hiring timelines
  • Support weekly trackers and internal dashboards, ensuring data accuracy and alignment with program standards

Contractor Support & Onboarding Coordination

  • Serve as a primary point of contact for contractors regarding onboarding, time entry, assignments, or program processes
  • Act as a liaison to ensure clear communication and alignment
  • Assist with onboarding steps for selected candidates, tracking documentation, start dates, and pre-employment milestones
  • Ensure all required onboarding steps are completed prior to start
  • Support contractor offboarding activities, ensuring accurate records and timely updates

Contractor Management & Hour Tracking

  • Track contractor activity, assignment status, and time submissions to ensure accuracy and completeness
  • Identify discrepancies in hours, assignments, or approvals and collaborate with internal teams to resolve issues
  • Maintain accurate contractor records to support billing, invoicing, and operational processes

Reporting, Documentation & Meeting Support

  • Prepare weekly, monthly, and quarterly summaries, dashboards, and reports on recruiting activity, interview progress, contractor starts, active assignments, and outstanding tasks
  • Maintain program documentation, trackers, and standard operating procedures (SOPs)
  • Support preparation of materials for internal and client review meetings
Qualifications:
  • 2-3 years of experience in staffing/HR support and coordination (MSP support experience preferred)
  • Proficiency with Excel, shared trackers/applicant tracking system, and basic reporting tools (preferably Power

    BI)
  • High attention to detail and commitment to data accuracy, follow-through, and process compliance
  • Excellent communication, organizational, and customer service skills, with the ability to manage multiple priorities and deadlines
  • Ability to work independently in a fast-paced, high-volume environment
