Position: Contracts Administrator/Paralegal (Risk Management - North Texas) - Austin Commercial

Description

We have an outstanding opportunity for a Contracts Administrator to join the Risk Management Department at Austin Commercial! The Paralegal will be responsible for providing assistance and support to the Risk Management Department at Austin Commercial, working closely with our contracts, insurance programs, and project pursuit eams, as well as other professionals inside and outside the organization, as necessary. This position reports to the Austin Commercial Risk Management Director and is located in our corporate office located in Dallas, Texas
. Please note this is not a remote work position.

Functional Area

s of Responsibilities:
  • Assist Risk Management team with activities and functions across the entire organization, which include, without limitation, activities and/or functions involving contracts, risk management, insurance, compliance, project team support, and corporate services support.

  • Provide support for core departmental responsibilities including, without limitation, collecting relevant information/documents, organizing and maintaining information/documents collected, calendaring proposal deadlines, and distributing information to appropriate stake holders in the risk management process.

Specific Responsibilities:
Prime Contract
  • Serve as the primary administrator over the Agiloft contract management platform, including cataloguing project and key contract terms

  • Prepare prime contract folders for files

  • Compare contract documents

  • Save all original executed contract and amendments in prime contract file

  • Post all executed contracts on internal company website

  • Prepare AIA documents as requested by pursuit teams, field offices, and insurance team (statements qualifications, change orders, certificates of substantial completion, payment and performance bonds, etc.)

  • Set up and administer job folders from pursuit to completion

  • Request proof of funding from Owners

Insurance/Surety
  • Payment and performance bonds – request from insurance team as required by contract or pursuit documents

  • Annual and project insurance renewals – save to job file and COI folder, and facilitate corporate certificate of insurance management

  • Experience Modifier Rate – request from insurance team as required by pursuit documents

  • Consent of surety/retainage release – request from BAIC as needed from field office

  • Broker, Insurance, and Surety invoices – facilitate and process invoices for payment request cost code from PM/FOM

  • Surety status reports - send to Project Manager to update and return to surety

  • Annual permit letters, Bonds, and Certificates of Insurance

RFQ/RFP/Pre-qualification
  • Perform initial review of requests for qualifications and proposals

  • Create electronic and hard copy folders for pursuit

  • Extract documents and forms necessary for review

  • Collect contract comments and other pursuit task items from legal and insurance teams

  • Request contract information, Go-no-go, and risk forms from appropriate parties – review, distribute, and file same.

  • Add new pursuit information to Contract Status report and update

General Risk Management
  • Issue and maintain master subcontract agreements, purchase orders, office leases, and related documents
Requirements:
  • Associate degree required and/or Paralegal Certification from an ABA approved paralegal education program or equivalent combination of education and experience.

  • Minimum of 3 years of paralegal experience within the construction industry with either a law firm, general contractor, or subcontractor, or relevant contract administrative experience.

  • Strong technical, organizational, communication (both oral and written), and interpersonal skills.

  • Experience drafting and reviewing legal documents.

  • Ability to meet the high expectations of a demanding work environment while maintaining independence and objectivity.

  • Ability to work within a defined process and reinforce policy adherence

  • Ability to work autonomously, efficiently, and proactively on multiple projects under tight deadlines while maintaining a commitment to quality.

  • Ability to exercise sound judgment and appropriately consult with or seek review when necessary.
