Description We are looking for a detail-oriented Administrative Assistant in Dallas, Texas, to support construction materials testing projects in a Contract to permanent position. This role requires strong organizational skills to handle document control, prepare reports, and manage customer communications effectively. The ideal candidate will thrive in a fast-paced environment and ensure seamless coordination of project activities.

Responsibilities:

- Answer incoming calls and coordinate the dispatch of technicians to designated locations within specified time frames.

- Organize and maintain project documentation in compliance with established standards and requirements.

- Input and verify billing information to ensure alignment with contractual agreements.

- Prepare and finalize reports, letters, and proposals in accordance with company standards.

- Support project delivery by monitoring cost, schedule, quality, and contract information across multiple assignments.

- Serve as the primary liaison for customers and project stakeholders, addressing concerns and escalating issues as necessary.

- Assist with administrative tasks such as data entry and word processing to support team operations.

- Edit and format reports and proposals for accuracy, clarity, and compliance with organizational guidelines.

- Manage multiple deadlines effectively while maintaining filing systems and project records.

- Perform additional duties as assigned to contribute to overall team success. Requirements - Proficiency in answering inbound calls and providing exceptional customer service.

- Strong data entry skills with attention to detail and accuracy.

- Experience with email correspondence and scheduling appointments.

- Knowledge of Microsoft Office applications, including Excel, Outlook, PowerPoint, and Word.

- Familiarity with dispatching and scheduling processes in settings that require attention to detail.

- Prior experience in the construction industry or related fields is preferred.

- Excellent organizational skills and ability to manage multiple priorities.
