About Department:
Dedman College Academic Services serves declared undergraduate Dedman students and is the office responsible for Dedman College policy and procedures, petitions, major/minor changes, and graduation certification. Dedman College is the heart of SMU. It is home to the humanities, social and behavioral sciences, mathematics, and natural sciences - disciplines central to the traditions of higher education. We offer over 90 undergraduate major and minor programs across our 16 academic departments.
Dedman College connects students with forward thinkers and global problem solvers through interdisciplinary education and liberal arts foundations. We offer a diverse collection of undergraduate minors and pre-professional programs that prepare students with the valuable skills to be successful in a competitive marketplace. From pre-health and human rights to pre-law and international studies, Dedman College has academic combinations for every future.
Dedman College is the oldest and largest academic unit ually, approximately 2,100 undergraduate students major in Dedman College programs, with an equal number of pre-majors. The college enrolls approximately 420 graduate students. More than 360 faculty members are based in the college's 16 academic departments. Undergraduate students in Dedman College may major and minor in its various programs. Dedman College also offers 23 graduate programs leading to a master's degree and 17 programs leading to a Ph.D. degree.
About the Position:
This is an in-person on-campus position
The Coordinator is a highly visible position that will provide (1) customer service to a variety of constituents and (2) administrative and clerical support for the Office of Dedman College Records and Academic Services during regular business hours: 8:30AM to 5:00PM Monday through Friday. Because this is a highly visible position, the successful candidate should possess a professional, courteous and friendly demeanor.
Essential Functions:
* Provides administrative support to the Dedman Academic Services Office. Specific responsibilities include (but are not limited to) declaration of all Dedman majors and serves as a backup facilitator to the Administrative Specialist for minor declarations, helps assign Dedman faculty advisors to select Dedman majors, prepares petitions to be reviewed by the Administrative Specialist and Director. Assists Degree Counselors with updating student records and graduation lists.
* Greets and directs visitors, fields phone calls, and responds to student, staff/faculty e-mails that come into Dedman Academic Services email account and takes appropriate actions. Assists with submitting work requests. Assists with graduation including, scheduling student appointments in Microsoft Outlook, running and printing DPR's and pulling folders, updating the DRAS graduation list as needed.
* Logs, processes, scans and links student petitions and supporting documentation into the Registrar's Office work flow using Perceptive Content. Ensures that Registrar's Office receives petitions and forms from our office.
* Creates and maintains departmental databases; routinely updates DCAS website and media and assists with coordinating, planning, preparing for, and attending events as needed.
* Coordinates and orders office supplies for office staff on a monthly basis.
* May be required to assist with December and May Commencement ceremonies.
Education and Experience:
High School diploma or equivalent is required. An Associate's degree is preferred.
A minimum of two (2) years of work experience providing clerical support in an office environment is required. Previous work experience as a receptionist is strongly preferred. Previous full-time work experience in a higher education environment, specifically in a clerical, receptionist, or administrative assistant role is highly preferred.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong interpersonal and verbal communication skills, with the ability to communicate broadly across the University and develop and maintain effective relationships with a wide range of constituencies. Must also…
