Position: Executive Legal Secretary (Litigation)

We are seeking an experienced Executive Legal Secretary to provide high-level administrative and litigation support to multiple attorneys in our Litigation Section. This role requires discretion, precision, and the ability to thrive in a deadline-driven environment while maintaining exceptional client service.

What You'll Do
  • Draft, format, proofread, and e-file pleadings and correspondence in state and federal courts.
  • Coordinate complex filings and ensure compliance with court rules and procedures.
  • Maintain case calendars and deadlines in Court Alert.
  • Prepare exhibits, trial notebooks, binders, and courtroom-ready materials
  • Open new matters, run conflict checks, and coordinate with New Business Intake.
  • Organize and maintain documents in Net Docs and coordinate with Litigation Support as needed.
  • Manage attorney calendars, meetings, travel, and client communications.
  • Support billing, time entry, expense reports, and check requests.
  • Coordinate CLE submissions, bar admissions, memberships, and speaking materials.
  • Provide proactive administrative and team support while maintaining strict confidentiality.
What You'll Bring
  • 2–5 years of litigation experience in a mid- to large-size law firm.
  • Proficiency in Microsoft Office (advanced Word skills required), Net Docs, Carpe Diem, and Emburse.
  • Strong experience with federal (ECF) and Texas state e-filing systems.
  • Ability to create complex documents including TOAs, TOCs, cross-references, and redlines.
  • Exceptional organizational, proofreading, and time management skills.
  • Collaborative, service-oriented mindset with the ability to manage multiple priorities.
  • Self-starter who performs with accuracy in a high-volume environment.
