Position

Summary

The Executive Assistant is a highly visible and critical role supporting the Chief Operating Officer, as well as the Chief Impact Officer of Education is Freedom. This individual will serve as a strategic partner and administrative backbone, managing calendars, coordinating meetings, facilitating communication, preparing materials, and ensuring the Chiefs can operate with focus and efficiency. The Executive Assistant will act with the highest levels of discretion and professionalism and will help coordinate special projects, leadership team support, and key communications on behalf of the COO / CIO.

Key Responsibilities Executive & Administrative Support
  • Manage complex and dynamic scheduling for the COO / CIO, including internal and external meetings, travel, and events.
  • Prepare materials, briefings, and agendas in advance of meetings; take notes and track action items as needed.
  • Draft and manage high-priority correspondence, reports, and presentations on behalf of the COO / CIO.
Internal & External Coordination
  • Ensure timely follow-up and smooth communication between the COO / CIO and internal departments.
  • Serves as an internal champion for AI integration and operational innovation.
Office Management & Culture
  • Help maintain an efficient and professional front office environment and provide occasional support for organization-wide activities.

Requirements
  • 5+ years of experience in executive-level administrative support, preferably in nonprofit, education, or fast-paced mission-driven organizations.
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills; able to interact professionally with high-level stakeholders.
  • High level of discretion and ability to handle confidential information with integrity.
  • Proficient in Microsoft Office Suite, Zoom, Asana, and other productivity tools.
  • Bachelor’s degree required or equivalent professional experience.
  • Experience with AI-enabled workflow solutions preferred.
