The EPMO Project Administrator supports the day-to-day operation of the Enterprise Portfolio Management Office by providing administrative, reporting, and coordination support across projects and programs. This role helps maintain project documentation, supports PMO tools and systems, tracks progress, and facilitates communication between stakeholders. The EPMO Project Administrator contributes to consistent project management practices, accurate reporting, and adherence to PMO standards.
Portfolio Management Offices support organizational success by enabling standardization, providing support to project teams, ensuring alignment with strategic objectives, and helping identify and manage project risks.
Responsibilities- Provide general administrative support including meeting coordination, agenda preparation, note taking, action tracking, and responding to ad hoc requests.
- Support procurement and purchase requests related to project activities.
- Maintain project documentation, ensuring information is current, version-controlled, and accessible.
- Manage systems used to capture project data such as schedules, timesheets, costs, and resource information.
- Maintain project registers for risks, issues, actions, changes, and dependencies.
- Coordinate the collection of project data and assist with preparing summary reports, dashboards, and leadership reporting.
- Ensure data accuracy and timeliness for project and portfolio reporting.
- Support the setup and ongoing use of PMO tools, templates, and systems.
- Assist with continuous improvement of PMO processes and standards.
- Act as a point of contact for project teams and stakeholders, helping facilitate effective communication.
- Assist with tracking resource availability and supporting portfolio-level coordination as needed.
- Strong organizational and time management skills, with the ability to manage multiple tasks and priorities.
- Clear verbal and written communication skills and comfort working with a variety of stakeholders.
- Analytical skills and experience working with spreadsheets and project data.
- Familiarity with project and change management tools and methodologies; proficiency in PowerPoint, Excel, and Smartsheet; strong documentation and technical writing skills,
- High attention to detail and a focus on accuracy in documentation and reporting.
