Key Responsibilities
- Administrative & Business Support
- Provide administrative support across multiple sleeves in a complex team environment; provide backup team support to peer assistants as needed.
- Execute high-volume signature processes by coordinating with Legal and Execution teams to ensure accuracy while meeting deadlines.
- Manage quarterly formatting process of quarterly investor letters, upholding firm standards.
- Calendar, Meetings & Communications
- Proactively manage dynamic & complex calendars across multiple time zones, prioritizing meeting requests and coordinating internal and external meetings, conference calls, and video conferences.
- Anticipate potential calendar conflicts and engagements, while proactively resolving all scheduling challenges.
- Travel & Expenses
- Arrange domestic and international travel, including flights, accommodations, ground transportation, and visa procurement as required.
- Meticulously process and track expense reports in a timely manner, reconciling credit card expenses in compliance with company policy.
- Compliance & Confidentiality
- Handle highly confidential and sensitive business information with discretion and sound judgment.
- Adhere to compliance requirements and obtain necessary approvals in accordance with firm policies.
- Maintain detailed understanding of firm policies and can handle certain issues independently and escale appropriately.
- Exceptional attention to detail, organizational skills, and follow-through, with strong anticipation and problem-solving capabilities.
- Ability to exercise excellent judgment and discretion in dealing with confidential material or handling highly sensitive information.
- Highest degree of integrity, professionalism, and diplomacy is required.
- Proactive, reliable, and adaptable team player with a positive attitude and willingness to support where needed.
- Quick learner and self-starter with excellent anticipation skills.
- Familiar with expense platforms such as SAP Concur and Ariba.
- Strong proficiency in MS Word, Excel, PowerPoint and Outlook and Zoom is required.
- Ideal candidate has at least 3-5 years of experience.
Candidate must be located onsite in the Dallas office.
