Position Summary

The Executive Assistant functions as a Coordinator within the Office of the CEO, providing high-quality administrative and operational support across a team-based executive support model.

This role reports directly to the Chief of Staff and works closely with the Executive Assistant to the CEO. The position supports senior leaders including the Chief Operating Officer (COO), Chief Financial Officer (CFO), EVP - Corporate Strategy & Development, and EVP - Product Strategy, with lighter support to the SVP - Corporate Development & Strategy and EVP - Head of Investor Relations, while also supporting the Chief of Staff and Office of the CEO, acting as a centralized execution resource for administrative workflows and coordination in a fast-paced environment.

Calendar and responsibilities may evolve over time based on business needs, including support across Corporate Development & Strategy and broader leadership priorities.

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Executive Support: Manage calendars, scheduling, and meeting logistics; adapt to evolving calendar ownership and shifting priorities
  • Chief of Staff & CEO Team Support: Execute high-volume administrative tasks and support Office of the CEO workflows
  • Enterprise Coordination: Partner with senior leaders and executive assistants across the organization to coordinate meetings, track down information or materials, and ensure timely communication and follow-through
  • Travel Coordination: Book and manage travel, maintain itineraries, and adjust logistics as needed
  • Expense Management: Prepare and submit expense reports accurately and timely
  • Meetings & Events: Coordinate leadership meetings, working sessions, and events, including multi‑day meetings and company-sponsored events supporting leadership and team member engagement, along with meeting setup and breakdown, distribution of materials or access, communications, and related logistical support
  • Administrative Operations: Execute recurring workflows including document preparation, printing, assembling/binding materials, filing, tracking, and maintaining organized systems
  • Team Support: Provide coverage, assist with operational needs, and take on tasks or projects as assigned to support evolving Office of the CEO priorities

  • Serves as the primary administrative support across assigned executives, operating within a coordinated team structure with clear alignment on priorities and direction
  • Works closely with leadership to align on priorities and execution
  • Serves as a central execution resource across multiple leaders and shifting priorities, proactively completing routine workflows and anticipating what is needed to keep work moving
  • Prioritization & Alignment: Sequence work within scope while seeking direction when priorities conflict or are unclear
  • Communication: Provide consistent, proactive updates and maintain alignment across stakeholders
  • Working Approach: Operate effectively within established processes and preferences, applying sound judgment to maintain consistency while identifying opportunities for improvement
  • Collaboration: Contribute to a collaborative and team-oriented environment with shared ownership
