Sr Administrative Associate, Human Genetics (945658)

Job Summary

Works under direction to manage and direct administrative and/or business operations of division or unit.

Location:

100% onsite, Monday–Friday.

Responsibilities
  • Assist faculty in the preparation of grant applications, submissions, and status reports; coordinate and gather information from PIs or other personnel (50%).
  • Provide professional support including editorial and administrative support for manuscripts and abstracts for publication; prepare material for oral and/or written presentations; coordinate and prepare materials for courses, meetings, and conferences; perform library and internet research; possess intermediate or better graphic skills.
  • Oversee daily revenue collection for the Center's Sequencing and Human Genetics cores; track and review over 10,000 IDRs generated annually.
  • Review subledgers and monthly One Card accounts to ensure proper documentation and use of funds per UTSW Accounting policy.
  • Manage and coordinate multiple monthly conferences.
  • Coordinate travel and itineraries of staff, faculty, and speakers/guests; process expense reports upon return ensuring compliance with UTSW Travel policies; escort guests on campus visits including hotel pickup/drop‑off.
  • Order supplies and equipment for office, Center labs, and core facilities; work with Purchasing and vendors to obtain quotes and resolve issues.
  • Share time‑keeper responsibility with the Administrative Coordinator: receive, review, and input approved time‑card transactions; provide administrative approval for routine lab staff time‑off requests.
  • Perform other projects and duties as assigned.
  • Manage and direct administrative and business functions of the division or unit, establishing, reviewing, and revising internal procedures; interpret policies; supervise clerical operations; manage workflow for maximum efficiency; evaluate work progress and determine priorities.
  • Prepare or assist in preparing the annual budget for the division or unit; analyze financial status; project income and expenditures; allocate funding sources; monitor budget.
  • Maintain or coordinate budgets and grants; approve expenditures; prepare financial reports; reconcile accounts monthly; conduct overall review for overdrafts and appropriateness of expenditures.
  • Supervise staff, provide training, and coordinate recruitment; exercise decision‑making authority regarding hiring, disciplinary action, and termination; approve personnel changes; coordinate and prepare performance evaluations and merit increase recommendations.
  • Coordinate space needs, renovations, and all division operational services; recommend purchase of capital and non‑capital equipment.
  • Assist in preparation of major grant applications or status reports, coordinating information gathering from principal investigators and ensuring timely submission.
  • Ensure division/unit patient billing is submitted accurately and timely, including charge capture and coding; review patient account receivables, third‑party payer denials, and billing appeals.
  • Prepare or coordinate preparation of complex reports that require significant contact with other departments and outside organizations.
  • Design and execute a system of internal controls that provides reasonable assurance that operations are effective and efficient, assets are safeguarded, and financial information is reliable.
  • Ensure compliance with applicable laws, regulations, policies, and procedures.
  • Perform other duties as assigned.
Qualifications
  • Education:

    Bachelor’s Degree in Business Administration, Healthcare Administration, or a directly related field.
  • Experience:

    5 years of related experience; additional years of experience may be considered in lieu of minimum qualifications.
