Location:
Dallas Office - Dallas, TX 75201
Schedule:
Monday-Friday, 8:30 AM-5:30 PM (Fully In-Office)
Compensation: $25 / Hour W2 ; $52k annual conversion
Position Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to join our Dallas office on a temporary-to-hire basis. This role provides critical administrative support to multiple teams and principals, ensuring efficient day-to-day operations while maintaining exceptional client service. The ideal candidate is proactive, adaptable, and thrives in a fast-paced, deadline-driven professional environment.
Key Responsibilities
Administrative & Client Support
* Maintain and update client information in Oracle and other internal systems
* Set up new client records and upload Statements of Work (SOWs)
* Manage and maintain client data within Agiloft
* Assist with the preparation and processing of engagement letters as needed
* Upload Master Service Agreements (MSAs) and SOWs into Agiloft for both Dallas and Fort Worth offices
* Process administrative requests and provide backup support to team members as needed
Document Management
* Scan, organize, and maintain electronic records
* Manage Docu Sign workflows and document processing
* Upload e-filing acceptance documents into User Verse
* Prepare and mail taxpayer copies to clients
* Handle certified mailings and related tracking
Executive & Office Support
* Serve as backup support for the front desk and reception area
* Prepare and submit expense reports for Principals
* Coordinate travel arrangements and reservations for Principals as needed
* Provide general administrative support to leadership and staff
Qualifications
Education
* High School Diploma, GED, or equivalent required
* Bachelor's degree preferred
Experience
* Minimum of three (3) years of administrative support experience required
* Experience with in a professional services environment preferred
Technical Skills
* Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
* Experience with Adobe Acrobat required
* Experience with Oracle preferred
* Experience with People Soft or similar database systems is a plus
Knowledge, Skills & Abilities
* Strong organizational skills with exceptional attention to detail
* Ability to manage multiple priorities and meet deadlines in a fast-paced environment
* Excellent written and verbal communication skills, including strong grammar, spelling, and punctuation
* Demonstrated ability to interact professionally with executives, clients, and colleagues at all levels
* Superior customer service skills with sound judgment, discretion, and diplomacy
* Proven ability to handle highly confidential and sensitive information
* Strong problem-solving skills and a continuous improvement mindset
* Self-motivated team player who is flexible and willing to assist wherever needed
* Ability to work independently while contributing positively to a collaborative team environment
Pay Details: $20.00 to $25.00 per hour
