Job SummaryThe Senior Administrative Associate provides high‑level, complex administrative support to the Department Chair, managing the Chair’s calendar, travel, licensing, communications, finances, and special projects.
Responsibilities- Provide high‑level complex administrative support for the Department Chair.
- Manage and prioritize the Chair’s calendar, meetings, and events.
- Coordinate travel arrangements, approvals, logistics, and itineraries for conferences and meetings.
- Process financial transactions (travel expenses, reimbursements, purchase orders, payment requests) following institutional policies.
- Prepare and coordinate complex reports requiring significant contact with other departments and outside organizations.
- Compose and process letters, memoranda, and reference letters, ensuring confidentiality and discretion.
- Create and maintain PowerPoint presentations on behalf of the Chair and department.
- Coordinate communication between various departments and centers.
- Maintain faculty curriculum vitae, licensure records, and recredentialing documentation.
- Determine work priorities and monitor progress toward deadlines.
- Support special projects, including editorial and administrative support.
- Act as department liaison with other departments and agencies.
- Receive guests in the chair’s suite.
- Assist with overflow work from administrative peers as needed.

Education:
Bachelor’s Degree in Business Administration, Healthcare Administration, or a directly related field.
Experience:
Minimum 5 years related experience. Additional years may be considered in lieu of the minimum. Prior supervisory or lead role experience is preferred.
